Position Title: Practice Manager/Administrator
Work Set-up: Work From Home
Schedule: Monday to Friday, 6:30 AM to 03:00 PM PHT (AU-VIC Holidays)
Salary: Php 45,000.00 – Php 55,000.00

You’ll be responsible for coordinating day-to-day operations, managing client communications, handling administrative tasks, and ensuring smooth workflow across the business. Ultimately, you will play a pivotal role in keeping the accounting practice organized, responsive, and client focused. The ideal candidate will be resourceful, proactive, and familiar with key industry platforms such as Xero and Ignition. This role is a key bridge between the clients and accountants, helping the team deliver exceptional service and scale effectively.

JOB DESCRIPTION FOR A PRACTICE MANAGER / ADMINISTRATOR

Your Responsibilities as a Practice Manager / Administrator would be:

• Oversee and streamline day-to-day administrative functions of the accounting firm.
• Manage client communications, job scheduling, and project coordination.
• Prepare and send proposals to clients using Ignition.
• Track job status and deadlines using Xero Practice Manager and other systems.
• Liaise directly with clients to ensure clarity, updates, and follow-ups.
• Prepare ASIC annual minutes and register companies, trusts, and SMSFs through NowInfinity.
• Use ContentsNare to collect and manage client information efficiently.
• Create and maintain an organised workspace by leveraging XPM and other relevant software tools.
• Monitor the partner’s inbox and proactively support their organisation and scheduling.
• Handle select front-desk and communication responsibilities as part of a broader administrative function, ensuring seamless support across the team.
• Support financial oversight and provide executive assistance to the practice owner.
• Identify and implement process improvements to enhance efficiency
• Coordinate the onboarding and support training of junior staff members.

Qualifications as a Practice Manager / Administrator:

• Bachelor’s degree in Finance, Administration, Business, or a similar field.
• 2-3 years of prior experience in a similar role within an accounting firm or professional services environment.
• Strong proficiency in Xero Practice Manager and Ignition.
• Familiarity with other accounting tools is highly regarded.
• Excellent communication, organization, and multitasking skills.
• Ability to work independently and prioritise multiple demands.
• High attention to detail and a proactive mindset.
• Experience handling confidential information with discretion
• Experience with data entry, record keeping, and computer operation.
• Proficiency in Microsoft Office.
• Advanced MS Excel knowledge (familiarity with formulas, VLOOKUPs, and pivot tables).
• Comfortable working with remote teams and clients across time
