Experience in Scheduling and Patient Interaction: Experience in appointment scheduling, preferably in a dental or healthcare environment. Strong Communication Skills: Excellent verbal and written communication skills, with the ability to build trust and maintain professionalism with patients over phone, SMS, and email. Proficiency in Scheduling Software: Familiarity with third-party lead management systems such as Progressive and appointment management software in a healthcare setting. Organizational Skills: Strong ability to multitask, manage time efficiently, and prioritize scheduling tasks without sacrificing attention to detail. Tech-Savvy and Adaptive: Comfortable with technology, including CRM systems, scheduling tools, and communication platforms, and quick to learn new software. Customer-Centric Attitude: A friendly, empathetic, and professional demeanor with a passion for providing exceptional patient service.

Core responsibilities:

Lead Management and Communication: Respond promptly to patient inquiries received through Progressive and other advertising platforms via phone, SMS, and email to engage and qualify leads. Appointment Scheduling: Coordinate and schedule appointments in the practice management system, ensuring availability aligns with both patient needs and provider schedules. Patient Interaction: Build rapport with patients, providing them with accurate information about services, treatment options, and appointment protocols to enhance their experience. Data Entry and System Updates: Maintain up-to-date and accurate records of patient interactions, appointments, and qualifications in the relevant systems. Follow-Up Communication: Proactively follow up with leads and existing patients to confirm appointments, reschedule missed appointments, and encourage continued care. Collaboration with Internal Teams: Coordinate with treatment coordinators or other staff to ensure leads are appropriately qualified and ready for consultations or services.
