Who we are:

We are seeking detail-oriented professionals to join our team of Record Collection Specialists. In this role, you will leverage your organizational and communication skills to obtain patient medical records from healthcare providers across the United States efficiently. You'll build and maintain relationships with medical facilities while meticulously tracking all collection activities through our Salesforce CRM system, ensuring our patients receive their complete medical histories to support their healthcare journeys.

This is a fully remote position with flexible working hours during standard business operation. Work volume and hours are variable, dependent on project availability and business needs. Candidates must have their own reliable computer equipment and high-speed internet to perform this remote work. Preference will be given to candidates who can work 20+ hours per week.

Responsibilities:

  • Prepare and submit accurate patient record requests to healthcare providers' release of information departments
  • Conduct timely follow-ups via phone, email, or fax to ensure efficient retrieval of medical records
  • Upload and organize received medical record sets to the correct patients in Salesforce
  • Maintain detailed documentation of all collection activities and provider interactions within Salesforce
  • Meet or exceed established performance metrics for record collection volume and turnaround times
  • Build and maintain professional relationships with healthcare facility staff to facilitate smooth record retrieval
  • Identify and resolve obstacles to record collection while adhering to HIPAA compliance requirements

Qualifications:

  • 18+ years of age
  • Experience in medical records, healthcare administration, or customer service in a healthcare setting is a plus
  • Experience with record retrieval processes, HIPAA regulations, and healthcare facility operations is preferred but not required
  • Proficiency with Salesforce or similar CRM systems; experience with electronic medical record systems is highly valued
  • Excellent organizational skills with ability to manage multiple requests simultaneously is a must
  • Strong written and verbal communication skills for effective interaction with healthcare providers
  • Demonstrated phone etiquette and professional communication abilities
  • Meticulous attention to detail with a track record of accurate documentation
  • Self-motivated with proven ability to work independently while meeting performance metrics
  • Persistence and problem-solving skills to overcome obstacles in the record collection process
  • Personal computer/laptop with current operating system and reliable high-speed internet connection
  • Preference will be given to applicants who are able to work 20+ hours per week
