Job description

SUMMARY

The AVP, Tax Administration is responsible for managing all aspects of the daily, monthly, and quarterly workflow as it pertains to tax provisioning and reporting for clients of Ultimus Fund Solutions (UFS.) This position performs duties including the development and performance of team members and the processes used by them; holds the Tax team members accountable for their work.


KEY ACCOUNTABILITIES

TAX PREPARATION

  • Oversees preparation and review of Subchapter M and Excise tax provision work papers including all tax adjustment schedules to ensure accuracy of taxable income calculation and determination of required distributions.
  • Prepares and reviews all tax related disclosures to be included in financial statements including providing ROCSOP adjustments and entries.
  • Reviews and reconciles tax returns, including Form 1120RIC, Form 1120F and Form 8613, provided by external auditors, ensures they are filed in accordance with regulatory deadlines and verifies fund spillback requirements are met ensuring continued RIC status.
  • Participates in corresponding with clients and advisors to answer tax questions or aids in tax planning and preparation.
  • Participates in corresponding with regulatory agencies including the IRS and state tax authorities regarding tax notices or other correspondence.
  • Identifies and analyzes tax adjustments and issues including, but not limited to, wash sales, short sales, PFICs, Section 1256 contracts, straddles, and constructive sales.
  • Reviews periodic distribution calculations for tax adjustments.


MANAGEMENT AND DEVELOPMENT

  • Assists in developing and maintaining departmental procedures.
  • Assists in the training and development of team members as well as cross training among departments.


PERSONNEL MANAGEMENT

  • Manages associates within department including, but not limited to, hiring, training, and developing associates, delegating work assignments, writing, and conducting performance appraisals, salary recommendations, coaching and counseling, and administering corrective actions.
  • Conducts one-on-one and team meetings with associates on a regular basis to discuss new procedures, problems, and issues.
  • Establishes team and individual goals for department.
  • Fosters performance of associates and the processes used by them; holds the associates accountable for their work.


WORKING RELATIONSHIPS

  • Mentors associates through instruction, coaching, providing real-time on-the-job experiences, modeling effective practices, and advising on methods used.
  • Daily contact with UFS regarding daily activities and/or facilitation of external audit firms and agencies.
  • Regular contact with external audit firms and agencies regarding tax provisioning and other open issues.
  • Occasional contact with clients and advisers regarding any tax issues or questions pertaining to tax issues.
  • Occasional contact with tax regulatory agencies regarding tax notices, returns, or other issues.

May perform other duties as required and assigned.


EDUCATION AND EXPERIENCE

  • Bachelor’s degree in business administration or related field.
  • Master’s degree and/or CPA designation.
  • 7-10 years of related experience in corporate, federal, state, and local tax reporting, preferably with regulated investment companies.
  • 3-5 years of management and leadership experience.


KNOWLEDGE

  • Mutual fund industry and tax code affecting regulated investment companies.
  • Financial services industry.
  • Microsoft Office Suite.
  • Adobe Acrobat.
