The UW Autism Center (UWAC) is devoted to supporting autistic individuals and their families through exceptional clinical services, innovative scientific research, and high-quality training. UWAC is part of the Institute on Human Development and Disability at the University of Washington and incorporates faculty and staff from the UW School of Medicine, College of Arts & Sciences, and College of Education.
The UW Autism Center (UWAC) provides training and consultation services by a team of professionals including psychologists, speech and language pathologists, occupational therapists, board certified behavior analysts, and behavior technicians. The UWAC is seeking a full-time
Applied Behavior Analysis (ABA) Program Operations Specialist
to be located remotely.
This position will manage a team of Behavior Technicians (BT’s) within the UW Autism Center and responsible for managing and strategic planning of the day-to-day operations of the Applied Behavior Analysis program. This includes, strategic planning of budget forecasting related to clinical services, future hiring needs, and developing program policies and procedures. This position is a strategic partner to the UWAC leadership team, also working with partners at the Seattle Children’s Hospital and ABA leadership team at the Washington Healthcare Authority. It is expected that this individual will be responsible for a high degree of understanding and is the content expert for these areas, and has demonstrated ability of being a strong problem solver, and ability to lead, train, and motivate a team, while proactively improving the program in the ever-changing environment. This position reports directly to the UWAC Director of ABA Services and the Director of Operations.
DUTIES AND RESPONSIBILITIES
45% Administrative and Operations Management
- Work directly with ABA Director to ensure a good workflow and create process documentation. Responsible for improving efficiencies.
- Build contracts for parent-coaching models, alongside the Director of Clinical Services.
- Responsible for diversifying resources and develop strategy on treatment plan delivery and efficiency.
- Manage the administrative functioning of the program.
- Review the UWAC website information frequently to find ways to improve the wording or structure and provide feedback to website manager.
- Supervise capstone project in collaboration with the School of Public Health, Health Information and Health Information Management, to manage training and improvement projects related to strategy improvements for the ABA program.
- Develop, implement and maintain program policies and procedures.25% Behavior Technician Supervision and Management
- Interview, hire, and behavior technicians.
- Manage the extensive onboarding that is required of the hourly behavior technicians.
- Supervise behavior technicians and conduct performance evaluations.
- Facilitate training workshops for topics related to administrative task support or professional development.
- Strategize on future training and skills gaps in the ABA field, then build training needs as related to the program trajectory.
- Lead and guide other staff members including ABA patient navigators and BCBA’s.
- Provide feedback on trainees.
- Supervise work-study students and volunteers.
- Work closely with clinical BCBA’s to align feedback and training, which the BT’s have a dotted line reporting relationship.20% Client and Clinician Operational Support & Billing Management
- Manage client needs with clinician expertise – when reviewing the wait list to determine the next client to start services, will review potential clients with an understanding of the goodness of fit for the clinician with an opening.
- Track and manage the clinical care plans to ensure clinicians are at or above the billable expectations to meet program goals. Ensuring proper budget allocation and compliance required. Flag issues as needed and provide regular reports to the Director.
- Create budget and clinical care plan while analyzing the mix pay of clients and the services available, manage a 1.3 million annual clinical revenue.
- Communicate with families to assist with complications and resolve issues.
- Provide detailed information about clinical services the UWAC provides.
- Send reports to clients after evaluations are complete.
- Understand ABA scheduling needs and schedule multiple service types as indicated by treatment plan.
- Create ABA client schedules.
- Ensure that clinicians are at or above their billable expectation; maximize billable opportunities, set schedules in a manner that makes the most efficient use of clinician’s time.
- Manage correspondence with 8-9 insurance companies to appeal incorrectly processed or denied claims and consult with the billing team to determine errors in claims from insurance and assist in getting claims processed and accurate, including insurance coding.10% Other Duties as assigned
- Attend staff meetings and participate on internal committees, as required.
- Handle record requests from current and former clients and ensure record retention policies are followed.
- Develop monthly reports of activities and calls using our database. MINIMUM REQUIREMENTS
- Bachelor’s degree in business administration or related field and 2 years of related work experience. Equivalent education/experience will substitute for all minimum qualifications except in place of legal requirements, such as a license/certification/registration. DESIRED QUALIFICATIONS
- Relevant certifications or specialized training in leadership, management, or team development.
- Experience with customer service in a clinical setting (dealing with complex situations, conflict resolution, etc.)
- An approach to supervision and working with colleagues that enhances collaboration and team building.
- Ability to communicate with a variety of people, including students, supervisees, colleagues, parents, professionals, media, and autistic community members.
- Advanced PC skills using a range of software programs including Microsoft Office Suite (Word, Excel, Access, and PowerPoint), Internet Search and Adobe Acrobat.
- Familiarity with Electronic Health Record systems.
- Ability to exercise independent judgment, negotiate multilayered regulatory systems, manage competing priorities.
- Comfortable talking with the public.
- Excellent oral and written communication skills.
