Job description

Location: Remote (US based only)

Hours: Part Time, 30 hours per week, flexible schedule during business hours (8am-6pm EST)

About The Role:

We are seeking a highly motivated, proactive and versatile Operations Associate to work directly with the CEO and Operations Director. In this pivotal role, you will contribute to our business operations across multiple areas including administration, compliance, HR, sales, digital marketing and client services. You'll help build workflows and processes that enhance operational efficiency and bring fresh, strategic ideas to the table.

Key Responsibilities:

Sales & Client Services

  • Guide prospects through the sales pipeline (intake questionnaire, qualification, discovery call scheduling)
  • Create and maintain proposals, engagement letters, pricing agreements, and invoices
  • Support client onboarding, including document and file management
  • Maintain accurate client and sales reporting

Administrative

  • Manage document storage, record retention, and version control
  • Support the CEO with inbox management and calendar coordination
  • Develop and optimize business processes and workflows
  • Manage CRM (HubSpot) and keep data and workflows updated
  • Coordinate internal meetings and create presentations
  • Book travel and assist with company events
  • Draft, maintain, and update company policies and procedures
  • Special projects as needed

Compliance

  • Manage state registrations and regulatory filings
  • Coordinate 401(k) administration tasks
  • Oversee insurance compliance and other required documentation

HR

  • Support employee onboarding and offboarding processes
  • Organize employee gifts, celebrations, and engagement activities
  • Assist with various HR administrative tasks

Marketing

  • Assist with marketing campaigns and initiatives
  • Create content and imagery for social media and blog posts
  • Update website pages and assist with blog management
  • Design and distribute newsletters

Technology Support

  • Manage technology subscriptions and renewals
  • Serve as the "go-to" person for administrative technology support
  • Act as liaison with Juna’s IT management company
  • Support information security and compliance initiatives

Required:

  • Associate’s degree
  • 5+ years of relevant professional experience
  • Strong verbal and written communication skills
  • Highly Tech Savvy: quick to find, learn and adopt new tools
  • Expertise in Google Workspace, Asana, Slack, MS Office, and other tools to support marketing & operations (PowerPoint, HubSpot, Canva, etc.)
