The Who, What, Where, When & Why

At Oxford Medical Simulation, we're on a mission to transform healthcare education through innovative virtual reality solutions. As we continue to grow, we're seeking a detail-oriented and organised Sales Administrator to support our sales operations and contribute to our impactful work, but you're also curious about how the entire revenue engine works. You want to understand how leads move from marketing to sales, how success supports customers, and how everything connects to drive growth.

Who you are:

  • Organised and detail-oriented:
You like keeping things tidy and accurate, whether it’s updating customer info or making sure the right details are in the system.

  • Enjoys following and improving processes:
You like when things run smoothly and are happy to suggest better ways of doing everyday tasks like sending quotes or updating records.

  • Comfortable with tech and systems:
You're confident using tools like spreadsheets and CRMs (especially HubSpot), and you're always keen to learn how they work.

  • Data-literate
You can keep track of numbers, use simple reports, and enjoy learning how to spot useful information to help the team.

  • A team player
You're friendly, approachable, and happy to support teammates with questions about tools, systems, or processes.

  • Eager to learn about the bigger picture:
You're interested in how sales, marketing, and customer service connect and want to understand how your work helps everything run better.

  • Clear communicator:
You can explain things simply and enjoy helping others understand systems or processes.

  • Driven by purpose:
You want your work to make a difference and are excited to be part of a team helping improve healthcare around the world.

What you'll be doing:

As a Sales Administrator, you'll play a crucial role in ensuring the smooth operation of our sales processes. Your responsibilities will include:

  • Assisting in maintaining and updating our Customer Relationship Management (CRM) system, ensuring accurate and current client information.

  • Supporting the sales team by preparing quotes, processing orders, and managing invoicing procedures.

  • Coordinating with various departments to facilitate seamless communication and workflow, particularly between sales, marketing, and finance teams.

  • Handling general administrative tasks such as scheduling meetings, managing calendars, and organising sales documentation.

  • Providing prompt and professional responses to client enquiries, enhancing customer satisfaction and engagement.

  • Assisting in the preparation of sales reports and performance metrics to aid in strategic decision-making.
