This is a remote position.

Work Schedule: 8am-5pm Lincoln, CA time, Monday - Friday

Schedule:

  • 35-40 hours per week

Responsibilities
  • Drive efficiency in our billing operations by managing customer invoicing and vendor payment processes
  • Serve as the administrative backbone of the organization, handling crucial documentation and certification requirements
  • Coordinate with external partners, including managing vendor relationships and supporting bookkeeping processes
  • Lead the organization and tracking of business-critical renewals, including insurance and vendor certifications
  • Manage and streamline email communications to ensure timely responses and proper follow-up
  • Develop and maintain organizational systems for document management and administrative workflows
  • Support company growth initiatives through process improvement and administrative optimization
  • Handle returns and shipping coordination with attention to detail and customer satisfaction
Requirements
  • Excellent written and verbal English communication skills
  • Experience with accounting software (QuickBooks preferred)
  • Strong organizational abilities and exceptional attention to detail
  • Proven track record of managing multiple priorities effectively
  • Self-motivated with the ability to work independently in a remote environment
  • Professional experience in administrative or operational roles
  • Ability to align with US Pacific Time zone working hours
