Job description

This is a remote position.

We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to provide critical support to our CEO in managing both day-to-day operations and strategic business functions. This role offers a unique opportunity to be involved in a fast-paced, dynamic environment within the real estate industry, where you will work closely with the CEO on a variety of tasks ranging from administrative support to deal coordination and client relations. If you're a self-starter with a passion for real estate and have the skills to manage multiple responsibilities while maintaining a high level of professionalism, we’d love to have you join our team.



Job highlights:

  • Contract: Independent Contractor
  • Schedule: Monday to Friday; 9:00 AM to 5:00 PM West Jordan, Utah, USA, Mountain Time; 40 hours per week / 8 hours per day, 30-minute paid break

Responsibilities

 

Administrative Support

  • Calendar Management: Schedule and manage the CEO’s meetings, calls, and appointments with clients, sellers, and other stakeholders.
  • Email Management: Organize, respond, or delegate emails on behalf of the CEO, prioritizing urgent matters.
  • Document Preparation: Prepare contracts, letters, and reports as needed, including real estate agreements, offers, and follow-up emails.
  • File Organization: Maintain organized digital and physical records for contracts, deals, and other business documentation.

Deal Coordination

  • Transaction Management: Help coordinate wholesale real estate deals from offer to closing, making sure all paperwork is completed correctly and on time.
  • Follow-ups: Ensure proper follow-up with sellers, buyers, title companies, and lenders to keep deals moving forward smoothly.
  • CRM Management: Keep track of leads, follow-ups, and closed deals within a CRM system (e.g., Podio, FUB, Salesforce) to ensure no leads fall through the cracks.

Lead Generation & Marketing Support

  • Lead Intake: Manage incoming leads from marketing efforts, online forms, or phone calls, and ensure they are properly recorded and followed up on.
  • Marketing Coordination: Assist in creating marketing materials, such as mailers, online ads, or email campaigns, and oversee that they go out on time.
  • Social Media Management: Help manage social media accounts, ensuring the business’s presence is consistent and engaging across platforms.

Client and Vendor Relations

  • Client Communication: Act as the point of contact for clients, sellers, buyers, and contractors, ensuring a positive experience throughout the transaction.
  • Vendor Management: Coordinate with vendors, contractors, and title companies involved in the real estate deals, scheduling appointments, inspections, or repairs.

Reporting & Metrics

  • Deal Reporting: Provide regular reports to the CEO on key metrics, such as lead conversion rates, deals closed, revenue generated, etc.
  • KPI Tracking: Help track performance metrics like the number of leads generated, appointments set, offers made, and deals closed to ensure the business is meeting its goals.

Financial Support

  • Invoicing & Payments: Assist with invoicing for deals and ensuring that payments to contractors, vendors, and other stakeholders are processed on time.
  • Basic Bookkeeping: Record financial transactions such as deal proceeds, marketing expenses, and operational costs in accounting software.

Research & Data Collection

  • Market Research: Conduct research on potential markets, neighborhoods, and property values to assist the CEO in identifying investment opportunities.
  • Property Data: Gather and analyze data on properties, including ARV (after repair value), neighborhood comps, and repair costs to support wholesale deals.

Problem Solving & Special Projects

  • Issue Resolution: Troubleshoot issues that may arise during transactions, such as title issues, delays, or buyer/seller concerns.
  • Special Projects: Assist the CEO with other high-priority projects, such as event planning, networking, or expanding business operations.


Requirements
  • At least 1-3 years of experience as an Executive Assistant
  • Excellent organizational and multitasking skills
  • Strong English and Spanish communication skills (both written and verbal)
  • Familiarity with real estate contracts, transactions, and CRMs
  • Problem-solving abilities and attention to detail
  • Ability to work independently and make informed decisions
  • Monday to Friday, 9am to 5pm Mountain
