Role Overview
As an Operations Coordinator, you will embark on an exciting, high-growth journey. This position is ideal for someone who thrives on organization, research, and problem-solving. The role offers a chance to support both the Business Operations and Deployment teams by coordinating schedules and travel, managing contracts and quotes, assisting with procurement, researching integrators and hardware solutions, and more. It’s a great fit for a detail-oriented individual with technical curiosity who is eager to gain hands-on experience in business operations and technical project coordination within a fast-paced startup environment.

Key Responsibilities

Scheduling & Administrative Coordination
  • Manage calendars, schedule meetings, and track follow-ups.
  • Organize documentation for operational and technical initiatives.
Research & Vendor Coordination
  • Identify suppliers, gather quotes, and compare procurement options.
  • Compile vendor details, including pricing and product specs.
Customer & Partner Follow-Ups
  • Track customer inquiries and ensure timely follow-ups.
  • Assist in gathering technical requirements for integrations.
Procurement & Quoting Support
  • Collect and compare pricing for technical components.
  • Assist in preparing quotes and managing order records.
Contract & Document Management
  • Organize contracts, NDAs, and vendor agreements.
  • Monitor contract renewals and maintain digital records.
General Operational & Technical Support
  • Coordinate product testing, deployments, and milestone tracking.
  • Prepare reports summarizing research and operational updates.

Requirements

Must-Have Requirements
  • Project Coordination – Manage tasks, track deliverables, and work across teams.
  • Technical Resourcefulness – Research hardware specs and liaise with vendors (no AI or coding needed).
  • Cross-Functional Experience – Worked with technical, deployment, or engineering teams.
  • Organization & Communication – Keep stakeholders informed and manage documentation.
  • JIRA & Spreadsheets – Familiarity with JIRA for tracking and spreadsheets for data management.
  • Flexible Scheduling – Adjust hours based on executive travel and time zones.
  • Attention to Detail – Track deadlines, follow up on tasks, and ensure accuracy.

  • Workflow Automation – Experience with tools like Zapier.
  • Procurement & Vendor Management – Coordinating with suppliers and handling quotes.
