Job description

Insurance Administrator

Remote opportunity, but must work in Eastern Time zone: Monday - Friday, 8 am - 5 pm EST.

Position Summary/Objective

This role is responsible for managing the comprehensive insurance renewal process, coordinating claims with internal and external stakeholders, and ensuring timely and accurate communication and reporting for our Property & Auto policies. The ideal candidate excels in maintaining detailed insurance records and supporting teams with documentation and reporting required by departments such as Legal and Accounting.

Essential Duties and Responsibilities

Claims Management

·         Obtain updates on all incidents/claims from internal and external sources.

·         Provide detailed documentation for incidents as requested.

·         Maintain and update the incident/claims master schedule.

·         Manage the insurance process for catastrophic/significant one-off events.

·         Facilitate weekly calls to communicate material updates and gather information from the internal insurance team.

Policy Administration & Renewals

·         Communicate with insurance carriers regarding claims, acquisitions, and dispositions.

·         Track and maintain accurate records of active insurance policies and renewal timelines.

·         Prepare applications and provide necessary information to brokers.

·         Complete insurance policy audits to ensure accuracy and compliance.

·         Ensure timely payment of insurance premiums.

Financial Support & Reporting

·         Provide information to Accounting for monthly insurance-related entries, including expenses, captive entries, and prepaids.

·         Support the completion of financial period closings within established deadlines.

·         Assist with year-end audit-related inquiries.

·         Perform ad-hoc reporting and analysis as needed.

Compliance & Cross-Functional Collaboration

·         Collaborate with Investments and Accounting to assess damaged properties and identify lender reporting requirements.

·         Maintain procedural documentation to ensure compliance with internal and external requirements.

·         Support departments such as Investments, Property Management, and Legal on insurance-related initiatives.

Minimum Qualifications (Knowledge, Skills, and Abilities)

·         Bachelor’s degree required.

·         4+ years of experience in the insurance field.

·         Intermediate or better Excel skills, including advanced formulas and pivot tables.

·         Strong ethical judgment and personal integrity.

·         Self-starter who performs tasks with minimal supervision and checks their own work for accuracy.

·         Strong analytical, organizational, and communication skills.

·         Ability to train and mentor coworkers as needed.

·         Familiarity with captive insurance structures preferred.

·         Experience with insurance claims systems or platforms is a plus.
