What you will do:
The Transaction Compliance Specialist plays a critical role in ensuring the integrity of real estate transactions by monitoring compliance with legal and company standards. This position supports agents in navigating processes, verifying documentation accuracy, and maintaining operational excellence to deliver a seamless transactional experience.

Key responsibilities:
Compliance Monitoring & Enforcement
  • Transaction Audits: Review and approve all transaction documents to ensure compliance with company policies and regional regulations.
  • Policy Adherence: Educate and guide agents on company compliance standards, promoting consistent best practices.
  • Risk Mitigation: Identify and address potential compliance risks proactively, recommending corrective actions as needed.
Agent Support & Guidance
  • Documentation Support: Assist agents with document submission, ensuring timely and accurate processing.
  • Listing Document Review: Verify listing documentation to ensure compliance and readiness for marketing or transaction purposes.
  • Training: Conduct workshops or provide one-on-one support to educate agents on compliance procedures and eXp Realty tools.
  • Problem Resolution: Address and resolve transactional challenges efficiently, acting as a resource for compliance-related inquiries.
Operational Efficiency
  • Record Management: Maintain accurate records of all transactional data in company systems, ensuring accessibility and confidentiality.
  • Workflow Optimization: Collaborate with cross-functional teams to refine processes, reducing bottlenecks and enhancing efficiency.
  • Reporting: Generate compliance reports for leadership, highlighting trends, risks, and opportunities for improvement.
  • Anti-Money Laundering Compliance: Submit required reports and notices for the prevention of money laundering, adhering to local regulations.
  • Transaction Reporting: Prepare global and REP transaction reports for leadership and operational analysis.
Financial and Administrative Collaboration
  • Commission Payments: Act as a liaison with the finance department to process commission payments, ensuring timely disbursement.
  • Invoice Management: Track and request invoices from the accounting and finance departments to facilitate commission payments.
  • Referral Payment Oversight: Monitor and follow up on referral payments to ensure accuracy and timely distribution.
Listing Contract Review & Approval
  • Pre-Signature Verification: Act as the primary reviewer for listing contracts to ensure they meet all company policies and legal requirements before submission to the Country Leader for signature.
  • REP Listing Approval: Approve listings in the REP system, verifying accuracy and compliance with company and regulatory standards.
  • Document Review: Review all necessary documentation related to listings to ensure completeness and compliance before granting approval.
  • Compliance Check: Confirm that all necessary information, documentation, and terms align with regional regulations and company standards.
  • Feedback & Adjustments: Communicate with agents to address discrepancies or missing information, ensuring contracts and listings are accurate and complete before final approval.

  • Familiarity with real estate transactions and associated legal requirements (preferred).
Skills & Competencies
  • Technical Proficiency: Proficient in digital tools, including G Suite, CRM platforms, and real estate software.
  • Detail-Oriented: Strong organizational skills with an ability to manage multiple tasks while maintaining accuracy.
  • Problem-Solving: Proactive in identifying and resolving issues, with a focus on continuous improvement.
  • Communication: Exceptional verbal and written communication skills in Spanish; English proficiency (intermediate/advanced preferred).
