The base salary range for a Producer Records Specialist is $44,000 to $79,000. Actual salaries will vary by geographic location and are based on factors such as candidate’s qualifications, experience, skills, competencies, and company tenure & equity. In addition to base compensation, this role is eligible for an annual incentive plan based on company performance and individual performance.
Producer Records Specialist Overview
Responsible for the organization's producer onboarding process, administration of producer records, including producer compliance, and reporting related to producer records administration. Ensures company compliance with state regulations governing producer by performing compliance functions related to contracting, license verification, appointment processing and producer contracting.
Essential Duties
- Responsible for the onboarding of new producers and agencies ensuring all producers and business entities representing the company are properly contracted, licensed, and appointed in accordance with compliance rules and procedures. This includes the review and verification of submitted paperwork. Processes agency and/or producer set up, including payee administration, in corporate administration system(s) and producer management system. Prepares and distributes correspondence as it relates to the onboarding and appointment processing. Assists with the producer contracting and background investigation processing.
- Processes producer records maintenance transactions, including appointment terminations, in accordance with compliance rules and procedures. Analyzes and reviews complex producer administration set-ups, including purchase/merger processing, and provides guidance, as needed, to the Producer Records Coordinator. Analyzes, processes, maintains, and updates producer records information while utilizing multiple producer data sources and/or systems. Prepare and distribute correspondence as it relates to appointment termination processing.
- Responsible for all aspects of state appointment renewal processing. Verifies and validates annual state Department of Insurance appointment renewal list and fees by company. Responsible for extracting and analyzing information from multiple data sources to determine if a producer/agency has met corporate renewal guidelines. Reviews appointment renewal data and appointment termination data for accuracy and provides approvals for processing. Monitors the appointment renewal process ensuring payments are submitted and appointments renewed for processing within specified timelines.
- Collects and analyzes data to prepare and distribute reports on producer records, including year-end financial reporting.
- Acts as a liaison between the company and customer to respond to inquiries and resolve issues related producer records administration and compliance.
- Ensures documentation and procedures are updated and maintained. Responsible for providing onboarding training to new employees and delivers training to communicate and explain producer related activities are in compliance with applicable regulations and standards.
- Participates in various producer records and compliance related projects.
Required Knowledge, Skills and Abilities

Required Education and Experience
- Bachelor's degree in related field, or related experience can substitute
- 1 year regulatory/compliance or insurance licensing/appointment experience

- 3+ years’ regulatory/compliance experience or insurance licensing/appointment experience

Cross-Functional Interaction:
The position interfaces with all levels of the corporation, affiliate partner Blue Cross Blue Shield plan staff, external entities, and internal sales staff. Interacts with appointment processing vendor for coordination. Interacts with independent producer/brokers related to processing agent of record changes. Interacts with Legal regarding Department of Insurance regulations and agent contracts. Interacts with Finance regarding licensing/appointment fee processing and year-end reporting. Interacts with state Department of Insurance staff.
Decision Rights and Accountabilities:
This position requires little direct supervision. In order to meet corporate objectives this person is expected to make business related decisions and manage tasks independently including: research and resolution of licensing/appointment issues, document change requests for producer related systems, and serve as a tester and subject matter expert. Authorized to determine producer appointment eligibility, based on background questions and interpreting various state Department of Insurance regulations in order to process corresponding appointment. This will ensure compliance to meet state Department of Insurance regulations/guidelines and avoid state penalties and fees. Responsible for creating and maintaining documentation related to state Licensing, Appointments, and Termination procedures and state requirements. Conduct research to respond to inquiries and to process and handle confidential information.
