A busy property leasing service company in the UK requires a fast-paced and energetic Administrator with experience in the property industry, for approximately 30 hours per week, working from Friday to Monday.
1. Scheduling Property Inspections
Booking property inventory inspections, check-ins, check-outs, and mid-term inspections for landlords, letting agents, and tenants.
Coordinating schedules between property inspectors, clients, and tenants to avoid conflicts.
Sending booking confirmations and reminders to all parties.
2. Client Communication & Customer Service
Responding to inquiries from landlords, estate agents, and tenants regarding availability and pricing.
Handling booking modifications, cancellations, and urgent appointment requests professionally.
Providing clear information on inspection procedures and required access to properties.
3. System & Database Management
Updating and maintaining booking records using property management software or CRM systems.
Ensuring accurate documentation of property addresses, inspection dates, and client details.
Managing an organized record of past and upcoming appointments.
4. Coordination with Inspectors & Teams
Assigning property inspectors to scheduled appointments based on location, availability, and workload.
Liaising with inspectors to ensure they have the necessary details for each booking.
Notifying inspectors and clients of any last-minute changes.
5. Handling Payments & Invoicing
Processing booking payments, deposits, or invoicing clients as per company policies.
Tracking unpaid invoices and following up with clients when necessary.
6. Problem-Solving & Issue Resolution
Managing last-minute cancellations or no-shows and rebooking as needed.
Resolving disputes related to bookings or service expectations.
