Job Description
We are looking for an experienced Sales & Marketing Administrative Coordinator who will be responsible for managing sales activities, nurturing leads, and executing marketing initiatives to drive growth and engagement.
Responsibilities
Manage and update registrations on procurement websites (e.g., water districts, school districts, municipalities).
Upload required documents (certifications, insurance, etc.) and coordinate proposal development by gathering input from technical teams, formatting documents, and ensuring timely submissions.
Maintain and organize databases of potential clients and procurement opportunities.
Perform minor website updates, including adding staff profiles and editing content.
Assist with LinkedIn content creation, posting, and engagement tracking.
Support the development of marketing materials, presentations, and email communications, as well as integrate lead databases into our CRM (preferably HubSpot).
Schedule and organize meetings related to sales and marketing initiatives.
Prepare PowerPoint presentations for sales meetings and client pitches.
Manage documentation to ensure all paperwork is properly filed and easily accessible.
Requirements
Graduated with a 3-year or 4-year Bachelor’s degree
Candidates must provide either an NBI Clearance or Police Clearance (preferred) upon hiring
Must be comfortable with using Hubstaff, a time-tracking application
Proven experience in sales and marketing administration, with a focus on proposal coordination and bid registrations.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Familiarity with CRM tools, preferably HubSpot, or similar platforms.
Strong organizational skills for managing administrative tasks and ensuring accurate document submissions and website updates.
Professional-level English (written and verbal/voice)
Computer or laptop with access to the internet (minimum speed of 25 Mbps)
