Job Description
The Manager of the Vendor Management Office will require working with key leaders across business units as well as external resources, including vendors, consultants, and health industry peers to drive transformational efforts. This role is critical in managing vendor relationships from a performance perspective, ensuring quality is achieved and exceeded across vendors; processes, reporting and supporting tools are viable, and collection efforts are being achieved. The ideal candidate will be experienced in performance management and responsible for working closely with internal teams to drive performance efficiency and accountability. This position supports the Revenue Cycle Management team to identify, implement, and the on-going management of all RCM vendors.

Responsibilities
Relationship & Strategy Leader
- Build and maintain good working relationships with internal teams and third-party vendors.
- Fosters collaboration with internal teams and vendor partners
- Ability to establish and cultivate relationships with leadership and executives at a facility, group practice, and corporate level.
- Able to make recommendations on how to improve vendor performance in partnership with leaders and drive desired outcomes.
Performance and Financial Management
- Gains deep understanding of Core Operations, processes, deliverables, vendor partners and technology platforms
- Develop and implement performance management policies and ensure compliance with internal controls and best practices.
- Conduct comprehensive reviews of vendor performance reports to ensure alignment with contractual agreements.
- Track and analyze trends, and applicable consumption metrics to inform business decisions.
- Provide data-driven insights to support the development of vendor performance scorecards Collaborate with internal teams for service level reconciliation and spearhead calibration sessions for reviews and disputes with vendors.
- Proactively manage vendor-related performance escalations, resolving disputes in a timely and effective manner.
- Provides timely guidance and feedback to vendors to strengthen specific knowledge/skill areas needed to accomplish a task or solve a problem
- Coordinates creation of corrective action plans as required to address performance gaps
- Able to monitor -- on a daily, weekly, monthly basis – the risks and issues of third-party vendors, and effectively manage risks and issues as well as taking necessary steps to communicate and lead corrective action plans to the necessary stakeholders
- Prepare performance reports to senior management, identifying trends and opportunities.
- Establishes and facilitates vendor performance meetings with management leadership for as required
- Oversee vendor onboarding and provide ongoing feedback internally and to vendor partners
- Serves as liaison between stakeholders, functional counterparts, and vendors in overseeing multiple projects to ensure alignment with business goals and mitigation of risk
- Read and interpret performance components of contracts to ensure compliance with terms.
- Obtains clarification of contracts whenever necessary and may use the resources available through the Procurement, Compliance, Human Resources or Legal Department to do so.
- Manage and establish 3rd party vendor benchmarks, SLAs and KPIs
- Manage SLA baselining and working sessions internal and external
- Manages centralized mailbox for performance reports
- Supports management of performance tools for reporting and delivery
Risk / Issue Management
- Responsible for overseeing outsourced vendor risk management by establishing standard mechanisms for managing and tracking vendor risk/issue management, performance, reporting and communications.
- Able to monitor -- on a daily, weekly, monthly basis – the risks and issues of third-party vendors, and effectively manage risks and issues as well as taking necessary steps to communicate and lead corrective action plans to the necessary stakeholders.
- Maintains confidentiality of all Protected Healthcare Information as defined by HIPAA.
- Reads and abides by the company’s code of conduct, ethics statements, employee handbook(s), policies and procedures and other corporate mandates, including participation in mandatory training programs
- Reports any real or suspected violation of the corporate compliance program, company policies and procedures, harassment, or other prohibited activities in accordance with the reporting policies of the company.
Qualifications
To perform this job successfully, an individual must be able to perform each essential responsibility satisfactorily. The requirements listed below are representative of the knowledge, skills and/or abilities required.
- Must be able to independently manage the full lifecycle of a vendor relationship from contracting to project implementation to transition (as needed) with limited supervision.
- Must be willing to travel up to 25% of the time (likely out on Sunday or Monday, back on Thursday or Friday); engagements in remote areas may require 2 weeks to 6 months of interim leadership and/or process re-engineering.
- Must have a deep understanding of BPO and Software industry standards and develop the same for all of Sheridan’s standards for all functional areas of revenue cycle including rules that may be from a federal, state or local level which would affect billing and collecting efforts.
- Exceptional verbal, written, and presentation skills – must gain and sustain the confidence of the external stakeholders and internal clinical and business leadership.
- Must be able to organize, perform and track multiple tasks accurately in short timeframes; able to work quickly and accurately in a fast-paced environment while managing multiple demands; able to work both independently and collaboratively as a team player.
- Must possess and allude “command presence” to gain the confidence and commitment necessary from the various departments and individuals necessary for shared efforts in process and change management.
- Financial fluency so that they demonstrate adaptability, analytical and problem-solving skills, and attention to detail; and able to perform basic mathematical calculations, balance and reconcile figures, and transcribe accurately.
- Able to lead individuals and teams who are operating concurrently on RCM integration and operations tasks
Work Environment
This is a dynamic and fast-paced role within a collaborative environment, requiring proactive problem-solving and a keen eye for financial accuracy. Occasional extended hours may be required during peak periods or to meet critical deadline
Education/Experience
- Bachelor’s degree in finance, Accounting, Business Administration, or a related field.
- 5+ years of experience in Healthcare Vendor Management, Data Analytics, Contract Terms and Conditions, Procurement, Project Management, or Account Management
- Proficient with Microsoft Office Suite, databases, advanced spreadsheets, pivot tables, v-lookup and corporate email and collaboration solutions
- Demonstrate strong written and verbal communication skills, presentations skills and ability to successfully interact with all levels of management
- Exhibit excellent customer service skills and attention to detail.
- Ability to problem solve and critically think to resolve business issues
- Proficient in time management, organizational skills and managing multiple priorities
- Operate independently in a matrixed organization and escalate issues and concerns as appropriate
Computer Skills
- Advanced proficiency in Microsoft Excel (pivot tables, formulas, macros, and data visualization).
- Proficient in Microsoft Power BI, Tableau or other performance reporting tools
