💻 The Role

We are seeking a Chief of Staff / Senior Operations Associate to report directly to our Head of Operations. This individual will play a critical role in driving operational efficiency, monitoring customer experience (CE) interactions, and overseeing design team projects to ensure we meet customer requirements. Additionally, they will collaborate with our Data Analyst to monitor and interpret key data insights, enabling us to make data-driven decisions that enhance both internal processes and customer satisfaction.

This role is ideal for a detail-oriented, analytical, and proactive professional with a strong background in data and operations who thrives in a fast-paced, high-growth environment.

Responsibilities:
    🛠️ Customer Experience (CE) Monitoring & Improvement
    • Oversee and monitor all CE interactions, identifying trends and areas for improvement.
    • Develop and recommend strategies to enhance the customer experience based on data-driven insights.
    • Collaborate with the CE team to implement process improvements and measure their impact.
    📊 Design Team Project Oversight
    • Track and monitor all design team projects to ensure they align with customer requirements and expectations.
    • Serve as the operational point of contact, ensuring deadlines, quality standards, and client needs are consistently met.
    • Identify risks, bottlenecks, and improvement opportunities, providing proactive solutions.
    📈 Data Analysis & Collaboration
    • Work closely with the Data Analyst to monitor and interpret performance metrics and project data.
    • Leverage insights to recommend operational improvements and support strategic decision-making.
    • Create reports and dashboards to track progress and highlight key findings for the Head of Operations and leadership team.
    🔧 Operational Efficiency & Process Optimization
    • Identify and implement process improvements to enhance efficiency across customer experience and design operations.
    • Ensure consistent communication and collaboration between CE, design, and data teams.
    • Develop and maintain clear documentation of processes, performance metrics, and improvement plans.
    🔍 Strategic Support & Reporting
    • Support the Head of Operations in tracking and reporting on key initiatives.
    • Prepare reports, presentations, and summaries for internal stakeholders, ensuring they are data-informed and actionable.
    • Assist with ad hoc projects and initiatives as needed.
Qualifications:
  • 5+ years of experience in operations, data analysis, or a related role, with at least 2 years of experience in a leadership or senior associate capacity.

  • Proven track record of monitoring and improving customer experiences through data-driven insights.
  • Strong experience in project management, particularly with cross-functional teams.
  • Proficiency in data analysis tools (e.g., Excel, SQL, or BI platforms) and the ability to translate data into actionable insights.
  • Exceptional organizational and time-management skills, with the ability to manage multiple projects simultaneously.
  • Excellent communication and collaboration skills, with experience working across teams and departments.
  • Strong problem-solving abilities and a proactive mindset.
  • Experience in the design or creative industry is a plus, but not required.
  • Bachelor’s degree in business, operations, or a related field; advanced degree is a plus.
