What you’ll be responsible for: 

The Clinical Provisioning Team Lead role reports directly to the Director of Clinical Provisioning and will support Access TeleCare’s Services Lines by Providing Tier 1 support for scheduling needs. This role will provide guidance to the team of schedulers in coordination with the Director. The Team Lead will provide support and oversight with monitoring and reporting on KPI Metrics while facilitating communication, task management and conflict resolution within the Clinical Provisioning team. A successful applicant will act as an information resource and ambassador to providers and staff. 

What you’ll work on: 

  • Assist the Director with reporting on the key drivers and assumptions surrounding physician productivity, scheduled hours, supply and demand, contribution margin, and service level agreements
  • Support the Director on initiatives related to the development and management of the physician schedules, and provide support for requests for scheduling modifications (including emergent call-offs, service block disruptions, etc.)
  • Function as a co-liaison, along with the Director, to the Care Coordination Center (CCC) management team to ensure that the full scope of service delivery is considered from a scheduling perspective 
  • Support the team of schedulers with routine updates regarding schedule process/status (e.g., existing gaps, capacity metrics, schedule completion timelines, etc.)
  • Pro-actively identify gaps and capacity concerns and escalate as appropriate
  • Monitor, analyze trends, provide reports and implement actions to improve personnel staffing patterns, service quality and/or productivity performance
  • Identify performance improvement opportunities with facilities and partners related to scheduling and translate into realized efficiencies
  • Support the research on outliers to identify root causes of trends recognized in data analysis and reports
  • Support the team with providing feedback regarding the ability to take on additional demand at the state and facility level
  • Support the Director on supply/demand processes, work with internal analysts to effectively communicate the needs of the business from a physician supply (e.g. – hiring needs, contract conversions) as well as a licensing and privileging perspective to internal staff
  • Support the Director on go-live initiatives for new programs, providing input on timing and scheduling considerations that may impact successful on-time launch and subsequent operations
  • Collaborate with Director & coverage planning function to ensure appropriate privileging profiles for physicians and appropriate “pod” alignment
  • Assist the Director with coaching & training, Clinical Provisioning Coordinators to generate and post provider schedules on a monthly basis utilizing predetermined availability to strategically maximize efficiency and exceed target goal parameters
  • Maintain current and up-to-date knowledge of patient scheduling software, policies, and procedures for scheduling providers
  • Assist the Director with ensuring key operational targets are met
  • Perform other duties as assigned and modified at managers discretion
  • Foster team morale and collaboration
  • Lead Clinical Provisioning team to support the BU with daily operational tasks, with a primary emphasis on physician scheduling

 

What you’ll bring to Access TeleCare:

  • Bachelor’s degree in business administration, Health Care Administration, or equivalent preferred
  • (3) years’ experience within a healthcare environment preferred
  • Understand underlying drivers behind scheduling efficiency and effectiveness
  • Ability to articulate deficiencies in the schedule using data driven rationale
  • Outstanding facilitation, collaboration, and influencing skills
  • Effective interpersonal and strong presentation aptitude
  • Trustworthy with high integrity, and the ability to maintain appropriate confidentiality
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Work collaboratively with management and employees to complete job duties and responsibilities 
  • Ability to read and understand technical publications
  • Demonstrated proficiency with Microsoft office programs, communication, and collaboration tools in various operating systems
  • Handle problems consisting of multiple variables in an organized manner
