About the Role


Roar Apex is seeking a proactive and highly organized Virtual Assistant. This role requires a detail-oriented individual who can manage calendars, oversee emails, handle client and partner relationships, and support business operations. The ideal candidate is a self-starter with excellent communication and multitasking skills, capable of keeping the firm running smoothly while allowing the Founder to focus on high-impact tasks.



Key Responsibilities

 

Calendar & Email Management:

  • Manage the Founder’s calendar, scheduling client and partner calls, networking events, and catch-ups.
  • Proactively block time for focused work on client matters and business growth.
  • Oversee the Founder’s email inbox, ensuring timely responses and organization.
  • Keep track of important inquiries, deadlines, and client matters.

Administrative Support:

  • Track and manage incoming leads, quotes, engagement status, and follow-ups.
  • Provide administrative support for legal matters, including drafting letters, emails, and coordinating with agents.
  • Assist with financial administration, including maintaining records and coordinating with the external bookkeeper and accountant.

Partner Relationship Management:

  • Track partner contacts, last meetings, and referral sources.
  • Ensure relationships are nurtured through regular check-ins, birthday messages, and anniversary notes.
  • Assist in researching, reaching out, and developing new referral partnerships.

Client Relationship Management:

  • Send welcome and follow-up emails to new clients.
  • Distribute newsletters and check-in emails every six months.
  • Proactively offer additional services and request client referrals to maintain engagement.

Event Coordination:

  • Research and register the Founder for networking and industry events.
  • Identify speaking and sponsorship opportunities.
  • Ensure event-related tasks and commitments are well organized.

 

Requirements

  • Proven experience as an Executive Assistant or similar role.
  • Strong organizational skills with a high level of attention to detail.
  • Proficiency in managing email inboxes and scheduling software.
  • Excellent communication and relationship management skills.
  • Ability to work independently and take initiative.
  • Familiarity with Xero or other accounting software is a plus.
  • Experience with CRM systems, preferably ClickUp would be an added advantage.

 

Pre-Requisites

  • Access to a computer for attending to daily tasks.
  • Webcam for virtual meetings and team collaboration.

This role operates in the Australian Eastern Standard Time(AEST). Candidates should be prepared to accommodate their schedules accordingly.
