Work Schedule:
Monday - Friday, 9:00 AM to 5:00 PM (EST)

Position Overview:

We are seeking a Senior Executive Assistant & Business Operations professional to support executive leadership, ensuring seamless daily operations and driving business efficiency. This role requires a proactive, detail-oriented individual who thrives in a high-growth, investment-focused environment. You will play a critical role in executive support, investor communications, fund operations, and process optimization--enabling the leadership team to focus on high-impact strategic initiatives.

Key Responsibilities:

Executive Support & Leadership Operations:

  • Manage executive calendars, inboxes, and key communications, ensuring effective scheduling and prioritization.
  • Serve as a liaison between executives, investors, and internal teams.
  • Oversee leadership meetings, including agenda preparation, action item tracking, and follow-ups.
  • Assist in creating investor emails, leadership decks, and board presentations with precision and professionalism.
  • Handle confidential information with discretion, including legal and compliance-related documents.


Operations & Investor Coordination:

  • Track and manage key fund reporting deadlines, including NAV reporting, tax filings, and investor communications.
  • Support investor relations by preparing investor updates, financial presentations, and timely communications.
  • Maintain and manage CRM records, ensuring accurate investor documentation and engagement tracking.
  • Oversee compliance documentation, ensuring alignment with regulatory requirements.
  • Work closely with investor relations to support seamless investor onboarding and reporting.


Process Optimization & Business Efficiency:

  • Identify opportunities to streamline workflows and enhance operational efficiency.
  • Drive cross-functional alignment across fund operations, investor relations, and investment teams.
  • Assist in onboarding and managing third-party vendors, including overseeing key SaaS platforms.


Qualifications:

  • 3-5+ years of experience in executive support, business operations, or fund operations.
  • Strong organizational and problem-solving skills with the ability to manage competing priorities.
  • Advanced proficiency in Google Workspace (Docs, Sheets, Slides), Slack, Notion, and Zoom.
  • Experience with CRM and project management tools (HubSpot, Asana, Trello, Monday.com) is a plus.
  • Strong communication and presentation skills.
  • Ability to work independently, exercise sound judgment, and handle confidential information with discretion.
  • Experience in Fintech, financial services, hedge funds, investment advisory, or private equity. (preferred)


Nice-to-Haves:

  • Familiarity with investor reporting, subscription/redemption workflows, and regulatory compliance.
  • Experience working in a high-growth startup or investment firm.
