The Heart Rhythm Society (HRS) is committed to helping end heart rhythm disorders and saving lives. HRS is the international leader in science, education and advocacy for cardiac arrhythmia professionals and patients, and the primary information resource on heart rhythm disorders. HRS’s mission is to improve patient care by promoting research, education and optimal health care policies and standards. HRS represents more than 8,500 cardiac pacing and electrophysiology professionals in over 90 countries.

Associate, Development & Innovation 


Position Summary

The Development & Innovation Associate reports to the Chief, Development & Innovation Officer.  The Development & Innovation Associate supports the team by providing coordination, fulfillment and administration for corporate and donor partnerships, innovation initiatives, and the HRX branded activities. 

Responsibilities

Administration:

  • Supports development and innovation teams on maintaining accurate files, historical information and database entry where necessary. 
  • Supports team members on coordination and reporting for board, committee and council meetings. 
  • Supports stewardship efforts with donors and corporate partners by executing request for reporting, recognition, gifts and communication where applicable. 
  • Serves as the staff lead for the usage of Salesforce.  
  • Provide logistical leadership for all facets of partnership meetings, internal meetings, team and volunteer travel where applicable.
  • Update websites as directed
  • Anticipates needs and is highly responsive to direct and foreseen requests providing fast, accurate, and thoughtful replies as well as following up on action items on behalf of the Development & Innovation Department. 
  • Onsite meeting support at HRS and HRX where requested. 
  • Works on special projects and events as needed by the development team, direct supervisor or Associate Vice President, Development.
  • Maintains a tracking system and database for all corporate relationships to include Letter of Agreement tracking and reconciliation. 


Fulfillment:

  • Serves as fulfillment administrator for corporate partner, grant and program deliverables
  • Coordinate recognition and attribution as outlined in agreements with the appropriate staff.  Draft copy for thank you notes, ROI packets, websites, etc. and ensure timely delivery.
  • Provides meeting management support to include scheduling meeting appointments, agenda development, distribution of minutes, and post-meeting follow-up.
  • Support administration of grant funded awards (such as research scholarships and lectureship awards).
  • Serve as fulfillment administrator for the HRS and HRX Synchrony and licensure programs.

Works to execute strategies that lead to overall satisfaction and growth for the Society under general supervision. Self-starter who supports established procedures and works to create efficiencies. Incumbent exercises a proactive and problem solving approach to critical assignments. The work of the Development & Innovation Associate is guided by the development and revenue priorities of HRS. 

MINIUMUM REQUIREMENTS & QUALIFICATIONS

  • High School Diploma plus 5 years experience as an administrative assistant; Bachelor’s degree preferred
  • Experience in administrative support at the C-Suite executive level
  • Experience in association/non-profit development/fundraising environment
  • Experience coordinating travel and events
  • Proficient in the use of Microsoft Office (PowerPoint, Outlook, Excel, Word)
  • Proficient in the use of Salesforce and fundraising systems e.g., Classy 
  • Demonstrated ability to maintain a high degree of confidentiality
