Job Title: Real Estate Executive Assistant
Location:
Remote (EST Time Zone)
Salary Range:
up to 1500 USD (based on experience)

Work Schedule:
Monday - Friday, 9:00 AM to 6:00 PM (EST)

About the Company:

Sagan represents a fast-paced real estate company seeking an experienced, detail-oriented Real Estate Executive Assistant to support the CEO. This role is crucial for ensuring smooth operations, maintaining organized systems, and handling communication effectively.

Position Overview:

This role is the right-hand support to the CEO, requiring exceptional organizational skills, strong communication abilities, and the ability to handle administrative tasks efficiently. You will be responsible for email and calendar management, client follow-ups, document handling, and outbound calls--all while maintaining a professional demeanor.

Key Responsibilities:

  • Executive Support: Manage emails, respond on behalf of the CEO, and organize their schedule.
  • Calendar & Appointment Management: Schedule and coordinate meetings, ensuring optimal time management.
  • Outbound Calls & Follow-Ups: Regularly make calls to clients, vendors, and partners when necessary.
  • Document & File Organization: Maintain contracts, records, and key company documents.
  • Handling Document Signing & Processing: Use tools like DocuSign or HelloSign for contract execution.
  • CRM & Data Management: Update records and manage client information in systems like Salesforce.
  • Invoice & Receipt Organization: Track and categorize financial records.
  • Team Attendance & PTO Tracking: Monitor team hours and leave requests.
  • General Administrative Support: Assist with reports, meeting notes, and ad hoc administrative tasks.


Qualifications:

  • Fluent in English with excellent written and verbal communication skills.
  • Comfortable making outbound calls and following up proactively.
  • Highly organized, detail-oriented, and able to multitask effectively.
  • Tech-savvy and quick to learn new tools (Google Calendar, CRM systems like Salesforce, DocuSign, etc.).
  • Able to handle confidential information with discretion and professionalism.
  • Strong problem-solving skills and the ability to work independently.


Nice-to-Haves:

  • Prior experience as an Executive Assistant or in real estate administration.
  • Familiarity with real estate contracts, processes, or terminology.
  • Experience using Salesforce or similar CRM systems.
  • Basic accounting or bookkeeping knowledge.
