Requirements

We’re looking for an Operations Specialist - someone highly organized, proactive, and great at keeping things running smoothly. 

In this role, you’ll play a crucial part in ensuring our editorial, marketing, and event operations stay on track.  You will take ownership of key workflows, proactively improving processes and ensuring tasks are executed on time. As the Operations Specialist, you’ll be responsible for:

Editorial & Content Support
  • Managing the editor’s mailbox: Organising and responding to emails, flagging key messages, and ensuring timely follow-ups.
  • Handling copyediting and proofreading: Reviewing written content for accuracy, grammar, and consistency.
  • Coordinating content-related tasks with the editorial team.
Sales & Marketing Project Support
  • Managing the marketing board: Tracking tasks, ensuring deadlines are met, and keeping workflows updated.
  • Supporting routine marketing tasks, including newsletter scheduling and campaign coordination.
  • Assisting with advertising fulfilment, ensuring clients receive necessary materials and updates.
  • Conduct research on potential advertisers using tools like Apollo and assist with advertiser inquiries.
Summit Hosting & Administration
  • Supporting summit planning and execution: Managing speaker details, confirming schedules, and handling logistics.
  • Assisting with summit recording coordination, ensuring all sessions are documented correctly.
  • Tracking deliverables related to event sponsorships and advertising commitments.
  • Host and record summit speaker presentations
  • This aspect of the role requires communication skills, a structured and planned approach to ensure details are not missed to ensure smooth execution of hosting and coordinating speakers for summits. 
General Administrative Support
  • Handling ad hoc admin tasks to support various departments. 
  • Keeping records organised and ensuring workflows run smoothly.
  • Proactively identifying areas for efficiency improvements.

⏰ Working hours: Monday-Friday, 9AM - 6PM UK time. Requiring some overlap or occasional flexibility with US time zones. Time is tracked via Hubstaff.

To excel in this role, you need to have: 

✅ Several years of proven experience in a fast-paced administrative, operations, or project support role.
✅ Strong written communication skills and excellent attention to detail.
✅ Experience managing email inboxes and handling customer or client inquiries.
✅ Familiarity with project management tools (e.g., Trello, Asana, ClickUp, or similar).
✅ Ability to manage and prioritize multiple tasks efficiently.

Brownie points for:

⭐ Experience with copyediting or proofreading.
⭐ Background in marketing support, including newsletters and content scheduling.
⭐ Event coordination experience, particularly for virtual events or summits.
⭐ Familiarity with CRM tools and email marketing platforms.
⭐ Knowledge of the publishing or media industry.
⭐ Experience handling calls with B2B customers.
⭐ Degree in business administration or a similar field.
