Job Title: Senior Executive Assistant
Location:
Remote (CST Time Zone)
Salary Range:
up to 3000 USD

Work Schedule:
Monday - Friday, 9:00 AM to 5:00 PM (CST)

About the Company:

Sagan represents a dynamic and fast-paced organization that values problem-solving, tech-savviness, and adaptability. The CEO is looking for a highly organized and proactive Senior Executive Assistant to support daily operations, manage communication, and handle special projects efficiently.

Position Overview:

The Senior Executive Assistant will play a critical role in managing the CEOs inbox and calendar, ensuring smooth day-to-day operations. This role requires a sharp, detail-oriented individual who can filter messages, schedule meetings strategically, and handle administrative projects with efficiency. Over time, there is room to expand into more complex operational responsibilities based on the candidates strengths and initiative.

Key Responsibilities:

Inbox & Email Management:

  • Oversee and organize the CEOs inbox, prioritizing messages and ensuring timely responses.
  • Handle routine emails and flag high-priority messages for the CEOs attention.


Calendar & Scheduling:

  • Manage and coordinate client sessions, ensuring smooth scheduling and rescheduling when needed.
  • Align personal commitments with the CEOs business calendar.
  • Block time for deep work to maintain focus and productivity.


Special Projects & Operations:

  • Assist with administrative projects on an as-needed basis.
  • Manage client session records in Airtable.
  • Organize and maintain a video content library, ensuring proper file management and naming conventions.


Qualifications:

  • Fluent English skills with excellent written and verbal communication.
  • Proven experience in executive assistance, administration, or similar roles.
  • Tech-savvy, comfortable with productivity tools like Google Suite, Superhuman, Airtable, Acuity, Loom, and OnePassword (training provided as needed).
  • High attention to detail and strong problem-solving skills.
  • Ability to work independently and handle multiple tasks in a fast-paced environment.


Nice-to-Haves:

  • Experience working in a tech startup or dynamic, high-growth environment.
  • Comfort with wearing multiple hats and taking on evolving responsibilities.
