Job Title: Executive Assistant
Location:
Remote (EST Time Zone)
Salary Range:
up to 1700 USD

Work Schedule:
Monday - Friday, 8:00 AM to 5:00 PM (EST)

Position Overview:


We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support executive operations and administrative functions. The ideal candidates will manage scheduling, communication, and key administrative tasks while ensuring efficiency in daily business operations.

Key Responsibilities:

  • Calendar Management: Schedule meetings, prevent scheduling conflicts, and manage executive availability efficiently.
  • Email & Communication Handling: Oversee inboxes, respond on behalf of executives, and ensure all follow-ups are completed.
  • Travel Coordination: Book flights, accommodations, and transportation while aligning with business partner schedules.
  • Administrative Support: Handle document preparation, research, and general administrative duties.
  • Call Handling: Make calls on behalf of executives, with potential responsibility for answering inbound calls in the future.
  • Task & Project Management: Maintain accountability for assigned tasks and ensure all responsibilities are executed without the need for constant follow-ups.
  • Personal Assistance: Handle personal tasks, such as grocery orders or researching local programs, as needed.
  • Collaboration with Another EA: Work closely with the second Executive Assistant to streamline responsibilities and avoid duplication of efforts.


Must-Have Qualifications:

  • Proven experience as an Executive Assistant, ideally supporting C-level executives.
  • Strong expertise in Google Suite (Docs, Sheets, Presentations) and Microsoft Office Suite.
  • Exceptional organizational and multitasking skills to manage multiple projects simultaneously.
  • Strong communication skills with the ability to interact professionally with stakeholders.
  • Ability to work independently, take initiative, and solve problems proactively.
  • Attention to detail to ensure accuracy in all tasks.


Preferred Qualifications:

  • Neutral accent preferred due to frequent phone interactions (not a dealbreaker).
  • Previous experience working with high-level executives in a fast-paced environment.
