Reporting to the Marketing Operations Manager, the Legal Submissions & Content Specialist (or Senior Coordinator) focuses on the tracking, preparation, and submission of legal directory, award, and rankings submissions to enhance the visibility and recognition of the firm and its attorneys. This role also supports the firm’s experience management database by maintaining accurate and up-to-date records of client matters, legal experience, and attorney qualifications, ensuring the availability of relevant information for business development efforts such as pitches and RFPs.

Responsibilities and Duties:

  • Collaborate with the Business Development (BD) teams to manage the full lifecycle of all key award, directory, and rankings submissions such as Chambers, Legal500, Benchmark Litigation, GCR, and individual business and industry publications
  • Track, calendar, provide initial drafts, edit, and submit award, directory, and ranking submissions
  • Work directly with the firm’s PR agency, consultants, freelance writers, and attorneys to produce highly professionalized and sophisticated submissions that position the firm for increased rankings year over year
  • Stay current on changes and trends in the submission landscape, identifying new opportunities for legal directory and award participation
  • Work with the BD team to prioritize the importance of new submissions in relation to the firm’s overall business strategy
  • Develop best practices, timelines, and templates for both the submissions process and the maintaining of the experience management database, adding efficiency and predictability to both processes
  • Coordinate the scheduling of research interviews between attorneys and directory editors and assist with preparing attorneys for said interviews
  • Track submission results by producing annual comparison reports on rankings and results
  • Collaborate with the BD team to create, update, and finalize practice group and attorney profiles for directories where the firm is ranked
  • Collect and add new data on client matters, case outcomes, and deal highlights to the firm’s experience management database
  • Regularly audit the database to ensure completeness, adherence to firm standards, and data integrity
  • Other duties as assigned

Education, Experience, and Skills Required:

  • Bachelor’s degree required, preferably in marketing, communications or business
  • Minimum of three (3) years of experience preparing directory, award, and ranking submissions in a law firm setting
  • Excellent interpersonal and communication skills, both verbal and written
  • Effective time management skills, with the ability to handle a variety of tasks simultaneously and manage multiple projects while prioritizing assignments
  • Demonstrate sound judgment and a high level of trustworthiness when handling confidential and sensitive information
  • Ability to build rapport with attorneys at all levels, professional staff, and vendors
  • Strong organizational skills with great attention to detail
  • Strong emphasis on writing, editing, and project management
  • Experience with Microsoft Teams, Google Workspace, Vuture and CRM systems preferred
  • Strong computer skills, including web-based research and proficiency in MS Word, PowerPoint, Excel, and various document management tools. Ability to learn and use new software quickly.
  • General knowledge of office equipment and tools
  • Self-motivated, with the ability to work independently but within a team environment
  • Exceptional critical thinking and problem solving skills

Position Details

This is a full-time, benefits eligible, non-exempt level position. Final rate of pay and title will be commensurate with the incumbent’s experience, with a targeted hiring range of $46.00 – $55.00 hourly (the upper range reserved for highly qualified applicants). This position is currently available in our DC office location only.
