This is a remote position.

Full-time (38 hours a week)

Monday to Thursday : 8 am - 5 pm EST (9:00 PM - 6:00 AM PHT), includes 1 hr unpaid break
Friday: 8 am - 2 pm EST (9:00 PM - 3:00 AM PHT)


Job Description

Embark on an exciting career opportunity as an Operations and Inventory Coordinator in the dynamic world of wholesale distribution. In this pivotal role, you’ll be at the heart of our client’s business operations, managing crucial processes that keep their supply chain running smoothly. You’ll work with state-of-the-art software systems including Gamma, WebJaguar, QuickBooks, and Excel to oversee inventory, create essential documents, and ensure seamless order fulfillment. This position offers a unique chance to apply your skills in a fast-paced environment, grow your expertise in wholesale distribution operations, and make a significant impact on the company’s success.


Responsibilities
  • Create and manage wholesale documents including sales orders, invoices, and bills of lading using multiple software systems
  • Coordinate with warehouses to process orders, manage pick lists, and ensure accurate inventory tracking
  • Enter and reconcile data across various platforms, including retail stores’ ordering systems
  • Generate and send necessary documentation to customers and partners
  • Communicate with freight forwarders to arrange truck pickups as needed
  • Maintain accurate inventory records across multiple software systems
  • Assist in streamlining operational processes for improved efficiency
  • Handle confidential business information with discretion and professionalism

Requirements
  • Proven experience in B2B wholesale and distribution operations
  • Proficiency in using multiple software systems, particularly in inventory and order management
  • Strong attention to detail and ability to manage complex documentation
  • Excellent organizational skills and capacity to multitask in a fast-paced environment
  • Advanced proficiency in Microsoft Excel and aptitude for quickly learning new software
  • Strong communication skills, both written and verbal
  • Ability to work independently and collaboratively as part of a team
  • Commitment to process improvement and operational efficiency
  • Experience with Gamma, WebJaguar, and QuickBooks is a plus
