Position Responsibilities:

Lever Administration
  • Write, update, and manage all offers. 
  • Track offer timelines and expiration dates. 
  • Remind recruiters of expiring offers and ensure timely candidate outreach. 
  • Maintain up-to-date and accurate tagging in Lever. 
  • Run and analyze necessary reports from Lever. 

  • Pipeline Reporting
  • Update and review pipeline reports daily for accuracy. 
  • Prepare monthly pipeline reports for distribution to team leads and respective offices. 

  • Cooleaf and LinkedIn Groups Management
  • Connect future interns by adding them to LinkedIn groups. 
  • Create new LinkedIn groups for each intern cohort. 

  • Intern and Campus Full-Time Team Placement
  • Ensure accurate documentation and assignment information for interns and campus full-time hires. 

  • Partner/Coach/Buddy Preparation
  • Update guides for Buddies, Performance Coaches, and Partners for upcoming internships. 

  • Onboarding
  • Send and monitor background check requests, following up as needed. 
  • Assign team members in WorkDay, manage the Master Onboarding sheet, and monitor self-onboarding progress. 
  • Coordinate with IT and gather necessary shipping addresses. 

  • Intern Program Management
  • Provide updates for the intern newsletter. 
  • Create and manage Teams Channels for each intern class or group. 

  • Intern Performance Review
  • Monitor WorkDay during performance reviews and follow up with coaches and interns to ensure timely completion. 

  • Full-Time Offer Process
  • Draft offers for interns transitioning to full-time roles. 
  • Update the new hire pipeline and Lever with candidate movements. 
  • Monitor offer deadlines and coordinate check-ins with recruiters. 

  • Offboarding
  • Manage the offboarding process inWorkDay. 
  • Coordinate with internal teams to ensure smooth offboarding. 

  • Qualifications:
  • Bachelor’s degree in a business-related field or Psychology. 
  • 1-2 years of administrative experience preferred. 
  • Experience with recruiting administration, particularly with ATS/Lever/WorkDay, is a PLUS. 
  • Willingness to work night shifts (EST). 
  • Able to report to Clark, Pampanga (as needed)
