What you’ll do

The Executive Assistant will support senior leadership and responsible in assisting with multiple tasks including, but not limited to, the following:

  • Efficiently manage emails by reviewing, flagging, and responding to the emails daily

  • Manage calendars to optimize time utilization, including scheduling meetings (e.g.: using Calendly), manage CRM

  • Coordinate and organize meetings by preparing agendas, researching for the upcoming meetings, and taking meeting minutes

  • Conduct initial research on various topics as needed, utilizing online resources (such as Google, AI tools like ChatGPT, and others) to efficiently gather and summarize relevant information

  • Handle sensitive information with the utmost confidentiality and discretion

  • Serve as a liaison between executives and other team members, fostering a collaborative and productive work environment

  • Proficiently craft and refine documents in accordance with organizational standards

  • Manage travel arrangements for executives, including booking flights, accommodation, and transportation

  • Process and track travel expenses, ensuring accurate and timely reimbursements and compliance with company policies

  • Plan and assist to execute company events, conferences, and team-building activities as needed Finance (Not mandatory but experience/familiarity with these tasks would be a plus):

  • Handle financial tasks including sending monthly company credit card statements, preparing and sending collections / invoices to clients, reviewing invoices for accuracy and resolving discrepancies with vendors, and assisting with financial information for audits.
