Role Overview
As the Process and Continuous Improvement Lead at Cambridge Spark, you will play a pivotal role in driving process excellence and efficiency across our delivery and administration teams. You will be responsible for analysing, refining, and streamlining workflows to enhance user experience for learners, employers, and colleagues alike. Through the development and implementation of process improvement initiatives, you will ensure that our processes for delivery align with organisational goals, reduce complexity, and deliver measurable and sustainable impact.
Working closely with stakeholders across departments, you will lead change initiatives by conducting root cause analysis, identifying barriers to success, and implementing solutions that enable seamless workflows and data integration. By documenting processes and creating accessible guidance materials, you will ensure clarity and consistency across the delivery of our programmes.
Working cross-functionally to drive system improvements and scalable integrations. Acting as a subject matter expert on best practices, you will deliver training and support to colleagues on process changes and ensure all improvements contribute to the organisation’s commitment to quality and efficiency.
This role is integral to Cambridge Spark’s mission of delivering gold-standard apprenticeship programs, ensuring that learners, employers, and staff benefit from a user-centric and efficient operational environment.

Key responsibilities:
Process Improvement
- Analyse and evaluate current processes and workflows within the apprenticeship delivery teams
- Develop and implement process improvement initiatives to increase efficiency, reduce costs, and enhance quality
- Engaging Key stakeholders in change initiatives
- Ensure all changes are tested and measured for effectiveness and sustainability
- Conduct root cause analysis to identify and address inefficiencies within key processes
- Engage with relevant stakeholders to identify barriers to success and develop solutions to remove these constraints
- Decrease the complexity of processes
- Focus on User Experience - internal (colleagues), external (learners, employers)
Documentation & Knowledge Management
- Create, update, and maintain detailed documentation of processes, policies, and workflows for key delivery functions
- Ensure all guidance documents are accurate, and accessible, and develop and deliver regular updates to new and existing staff
- Develop standard operating procedures (SOPs) and ensure consistent application across the business
- Map and document interconnections between systems (e.g., CRM, learner management, ILR and financial systems) to ensure seamless data flow and process alignment
- Cross-functional working to enable change management and system improvement, with a focus on ensuring integrations are scalable
Stakeholder Collaboration and Training
- Collaborate with cross-functional teams to ensure alignment of process improvement initiatives with organisational goals.
- Deliver training or informational sessions to staff on process changes and new documentation.
- Act as a subject matter expert on process improvement, providing guidance to colleagues on best practice
Candidate Specification:
Essential
- Process Improvement Expertise: Proven experience in analysing and optimising workflows to improve efficiency, quality, and user experience.
- Problem-Solving Abilities: Strong skills in root cause analysis and implementing effective, sustainable solutions to address operational inefficiencies.
- Change Management: Experience in leading change initiatives, including stakeholder engagement, testing, and measuring the effectiveness of process changes.
- Documentation and Knowledge Management: Ability to create and maintain detailed process documentation, policies, and Standard Operating Procedures (SOPs).
- Systems and Data Integration: Familiarity with mapping and aligning interconnected systems such as CRM, learner management systems, ILR, and financial systems to ensure seamless data flow.
- Training and Development: Experience in delivering training or informational sessions to staff on process improvements and new workflows.
Desirable
- Familiarity with apprenticeship delivery operations or education systems.
- Knowledge of user-centric design principles to improve internal (colleague) and external (learner and employer) experiences.
- Experience working in cross-functional teams to deliver process and system enhancements.
