The Role

If that’s you, then don’t pass go! Apply now! We are looking for an Executive Assistant for Turquoise Health’s CEO. This role requires high-level coordination, confidentiality, attention to detail, and the ability to multitask in a fast-paced environment. The role of the Executive Assistant is to act as a liaison between Turquoise’s senior leadership team, cross-functional teams, and external partners, ensuring seamless operations and optimal time management. This role is primarily remote, however the candidate needs to be local to San Diego.

In this role, you will act as a gatekeeper, organizer, and problem-solver, managing schedules, communications, and critical projects. This role requires exceptional organizational skills, confidentiality, and the ability to work independently in a remote environment.

Responsibilities

As Executive Assistant to the CEO, you'll…

Most of the time:

  • Schedule and manage appointments, meetings, and events across multiple time zones
  • Proactively address scheduling conflicts and ensure the executive is well-prepared for engagements
  • Handle and prioritize emails, phone calls, and other correspondence
  • Draft, proofread, and send communications on behalf of the executive
  • Arrange domestic and international travel, including flights, accommodations, and transportation including detailed itineraries
  • Prepare detailed itineraries and address any last-minute changes
  • Assist with planning and coordinating projects, ensuring deadlines are met
  • Organize and maintain digital files and records
  • Organize virtual meetings, including preparing agendas, taking minutes, and distributing post-meeting action items
  • Act as a liaison between the executive and internal/external stakeholders across all levels and functions
  • Build strong relationships with key contacts to facilitate communication and collaboration
  • Perform research and provide summaries or recommendations

Some of the time:

  • Create reports, presentations, and spreadsheets as well as ad hoc projects
  • Assistance with event planning for company off-site events 
  • Overseeing and managing personal tasks for the CEO

Requirements

What you bring to the Executive Assistant role:

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role
  • Strong proficiency with productivity tools (e.g., Google Workspace, project management tools like Jira or Asana)
  • Exceptional organizational and time-management skills
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and handle sensitive information
  • Self-motivated and proactive with the ability to work independently
  • Tech-savvy and adaptable to new tools and technologies
  • Experience managing global time zones and working in a remote setting is a plus
  • Familiarity with communication tools (e.g., Slack, Zoom,)
  • Problem-solving mindset and ability to thrive in a fast-paced environment
  • Communication and collaboration skills across seniority levels and functions

Salary


The salary range for this full-time position is $75,000-95,000. Our salary ranges are determined by role and level and reflect the minimum and maximum salary across all US locations (please note: salaries are location agnostic). Within the range, individual pay is determined by factors including job-related skills, experience, and relevant education or training. We will talk about compensation in our first conversation and be transparent throughout the process about which level we think is the best match for you in our organization. Please note that the salary range does not reflect total compensation, which includes base salary, benefits, and company stock options.

Turquoise Health is a fully remote company based in the US. We work with team members and contractors in the US and around the world, but we operate on US business hours and work with clients entirely based in the US. For this role, we are seeking US-based candidates.
