We are seeking a highly organized and detail-oriented Intake Specialist to join our team and support a declaration campaign. In this role, you will be responsible for making outgoing calls to individuals on an attorney-provided class member list (English & Spanish), conducting interviews, and gathering information for declarations following a provided script. You will input the gathered data into drafted declarations, collaborate with attorneys for review and revisions, and send finalized declarations to clients via DocuSign for electronic signature.
Key Responsibilities:
Outgoing Calls: Make outgoing calls to individuals on a provided class member list as part of the declaration campaign (English & Spanish).
Interview and Data Collection: Follow a structured declaration script (English & Spanish) to ask specific questions about wage and hour violations and gather accurate information from each class member.
Data Entry: Accurately input responses from the interviews into a drafted declaration document. Ensure all information is entered correctly and in a timely manner.
Attorney Collaboration: Send the drafted declarations to attorneys for review and incorporate any feedback or revisions as required.
Finalization and Sending to Clients: Once the declarations are approved by attorneys, send them to clients via DocuSign for electronic signature, ensuring that all documents are signed and completed in a timely manner.
Record Keeping: Maintain accurate and up-to-date records of all communications and documents sent. Ensure that all information is properly stored in compliance with confidentiality and privacy regulations.
Client Support: Provide prompt responses to client inquiries, offer clarification on any questions they may have about the declaration process, and ensure the smooth execution of the campaign.
Qualifications:
1. Fluency in English and Spanish, both written and verbal, to conduct interviews and communicate effectively.
2. Spanish Proficiency Level: B1/B2 preferred
3. Prior experience in doing outbound calls or cold calling for at least a year is a must.
4. Proficiency with tools like DocuSign, Microsoft Office (Word, Excel), and data entry platforms.
5. Familiarity with legal documentation or prior experience in an administrative support role, preferably involving client interactions or data processing is a plus.
6. High attention to detail for data entry, drafting, and reviewing declarations to ensure accuracy and completeness.
7. Ability to meet tight deadlines for sending and finalizing declarations while maintaining a high level of quality.
8. Bachelors degree in a related field (e.g., Communications, Business Administration, or Legal Studies) or equivalent work experience preferred.
9. Willing to work on graveyard or shifting schedule.
