The Position
Boutique business litigation firm seeks a highly organized and detail-oriented individual to join our team in a remote position that combines Executive Legal Assistant, Office Manager and Paralegal duties. You'll help run the firm and be responsible for a wide range of tasks, from overseeing case management, hiring vendors, maintaining calendars/schedules, working with clients, managing and drafting documents, solving problems and providing valuable input to improve the workings of the firm.
Responsibilities
Case Management:
Organize and maintain electronic files for clients and the firm
Manage calendars & schedule meetings, depositions, and court hearings
Coordinate with court reporters, process servers, and other vendors
Document Management:
Utilize Clio to set up new matters, track time, and generate invoices
Prepare, proofread and finalize legal documents (i.e. pleadings, briefs, and contracts)
Compile and organize large legal documents and exhibits for trial or depos
Electronically file documents in state, federal, and administrative courts
Legal Research:
Conduct legal research using LexisNexis, Pacer, and other online resources
Analyze case law and statutes to support legal arguments
Administrative Tasks:
Draft correspondence, emails, and other communications
Create and maintain templates for various documents
Assist with client billing and invoicing
Handle general office administrative tasks
Qualifications
Legal:
Minimum 5 yrs administrative experience involving state & federal civil litigation
Thorough understanding/proficiency in all aspects of discovery & the litigation process
Familiarity with legal research & document review processes
Experience with e-filing in state & federal courts
Ability to research local court rules to determine deadlines, formatting requirements, etc
Administrative & Office Management
Expert in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat
Experience with legal practice management software (e.g., Clio) and legal research tools like Lexis/Nexis & Secretary of State databases
Excellent organizational and time management skills
Strong attention to detail and accuracy
Excellent written and verbal communication skills
Ability to work independently and as part of a team
