The Administrative Operations Assistant is a critical member of the Operations Department, supporting CitizenGO’s global activities. This role is integral to ensuring smooth accounting processes, budget monitoring, and financial reporting while also assisting in administrative and organizational tasks across teams. You will report directly to the Director of Operations and collaborate closely with Operations Officers, Executive Assistants, and an external team of financial controllers.

Responsibilities

  • Working with the accountant to assist in carrying out the organization's accounting processes.
  • Helping the accountant perform account analysis and maintain account reconciliations, including bank statements and general ledger accounts.
  • Reviewing credit card reports and expense reports.
  • Monitoring budgets, financial reporting, expense tracking, and invoice approval.
  • Preparing and submitting weekly and monthly reports.
  • Assisting in administrative and organizational functions.
  • Supporting other departments in finance, accounting, and administration tasks.

Requirements

  • Reside in Madrid or within close proximity.
  • Demonstrable experience in administrative tasks.
  • Knowledge of accounting and billing will be valued.
  • Excellent organizational skills.
  • Good computer skills in general.
  • Passion and commitment to defending life, family, and freedom.
  • Strong teamwork skills, comfortable in a highly collaborative team culture and a hierarchical team structure.
  • Strong project and staff management skills.
  • Team player who can jump in and support the team on a variety of topics and tasks.
  • Fluency in English and Spanish is a requirement. Duolingo English Test is required for all non-native with a minimum score of 100 (B2 equivalent).
