🖍️ This role
The Operations Associate (Talent & Exec Support) will be responsible for managing recruitment processes, supporting C-level executives, and ensuring operational efficiency across various platforms and tools.
Reporting directly to the Chief People Officer, this role will play a critical part in hiring top talent, ensuring seamless communication across teams, and optimising workflows.
This role is ideal for someone adaptable, who thrives in a fast-paced environment, enjoys building relationships, and is skilled at balancing and prioritising competing responsibilities.
💻 What will you do
Talent coordination and ATS management: Manage applicant tracking system (Ashby), post and maintain job ads, coordinate interviews and schedule follow-ups to maintain a positive candidate and stakeholder experience.
Provide executive-level support: Handle scheduling, communication, and administrative tasks for C-level executives, ensuring efficient workflows and alignment with organisational goals. This will include travel, scheduling meetings, internal comms, invoices/receipts etc.
Employee experience initiatives: Work with our Operations Manager (Employee Experience) to help organise and execute our peak employee experience moments, including team offsites, external events, birthdays, anniversaries, All-Hands meetings, and ad hoc initiatives.
Support document preparation and management. Draft NDAs, contracts, and agreements using tools like DocuSign and Lumin, ensuring accuracy and timely delivery.
Ensure platform access for executives. Set up and manage access to essential platforms, including Airwallex, Clay, Uber, and Xero, while supporting executive needs.

🥷 Your skills
2+ years of experience in Talent Acquisition and Executive Support. You should have a proven track record in managing recruitment processes, handling executive-level communication, strong calendar management and booking complex travel itineraries, ensuring seamless support for C-level executives.
Proficiency in coordination and logistics. Skilled in managing schedules, interviews, and follow-ups to ensure a positive candidate experience.
Strong ATS management skills. Experience overseeing and managing applicant tracking systems to streamline recruitment and improve efficiency. (Prior experience using Ashby is a strong bonus, but not necessary)
Exceptional communication skills. Comfortable liaising with C-level executives, candidates, and external agencies to facilitate smooth processes and partnerships.
(Bonus) Excellent CV screening and sourcing abilities. Ability to identify top talent and assess candidate alignment with organisational needs and culture.
(Bonus) Familiarity with tools and platforms such as ATS, calendar management systems, Clay, 1Password, Uber, Airwallex, Xero, Notion, Loom, DocuSign, Lumin, Slack, Microsoft Office Suite, and Google Workspace.
(Bonus) 2+ years of Executive Assistant experience. Proficient experience managing C-Suite at a 1-2:1 ratio.
