What you’ll be doing
In this dynamic role on the CIBC Corporate Secretary Division team, you will co-ordinate, manage and assume primary responsibility for key activities with multiple and inter-related deliverables to document and support the execution of CIBC’s Annual Meeting of Shareholders and Management Proxy Circular. The Specialist, Planning and Implementation will also co-ordinate, carry out and assume primary responsibility for quarterly tracking and reporting to HR director compensation information, and providing analysis as required. You will provide independent support to the Senior Director, Assistant Corporate Secretary (ACS) and develop administration procedures and processes to support the ACS and the Corporate Secretary Division team.

How you’ll succeed
- Annual Meeting of Shareholders and Management Proxy Circular project management - Take a leadership role in coordinating and compiling deliverables and contributions of a wide range of CIBC stakeholder groups and third-party service providers. Play a key role in the execution of the project plan to effectively balance precision and attention to detail, efficiency and costs. Manage the work plan for a range of interrelated activities in support of the Proxy Circular, with the ability to flex and respond to changing priorities. Maintain peer benchmarking information to support the reporting of trends and best practices in Proxy Circular disclosure.
- Director Compensation Tracking –Manage the collection and reporting of data for director compensation for CIBC Board members. Working with CIBC HR partners, you will co-ordinate information on deferred share unit allocations and share purchases, along with key steps in the on-boarding and off-boarding of CIBC Board members.
- Collaboration and Relationship Management - Manage relationships and collaborate with third party service providers, including printers, translators, intermediaries, CIBC’s transfer agent in support of CIBC’s Annual Meeting of Shareholders and the Management Proxy Circular. Work directly with the ACS throughout the execution of the project plan for the Proxy Circular and Annual Meeting of Shareholders, from requirements gathering and resource allocation, through to implementation and follow-up. Partner and collaborate with other infrastructure groups (e.g. Corporate Communications, Investor Relations, Corporate Events) to coordinate venue requirements, comply with filing requirements and coordinate web postings.
- Preparation of Reports for Senior Management and the Board – Gather information and prepare initial draft of reports and supporting materials for review and/or approval by the CIBC Board of Directors and Senior Management.
