Position: Accounts Payable  

Position Location: Remote - work from home with ability to go to Neptune, NJ to pick up the mail

Job Summary
The Accounts Payable person will have the opportunity to work with and collaborate with professional and operations staff. This person will work as part of the Accounting Team and interact closely with the project management, field and design staff to perform standard accounting activities in compliance with GAAP and company policy.

The Accounts Payable person will receive general instructions on routine work, detailed instructions on new projects or assignments.  May work independently, consistently exercising discretion and independent judgment on individual work, or may work under immediate supervision.  May serve as lead on routine projects of limited scope.

The Accounts Payable person will communicate and operate in line with organizational goals and values, as well as departmental objectives. 

Essential Functions
Accounts Payable (40%)
  • Oversee accounts payable, including 1099 reporting
  • Code, accrue and pay accounts payable invoices
  • Manage journal entries and reconcile accounts for the monthly and annual closing within required deadlines
  • Maintain and track Certificates of Liability Insurance and W9s
  • Confirm contract status prior to issuance of subconsultant invoices

Expense Processing (30%)
  • Manage company issued credit cards
  • Collect approvals from appropriate people, process payment in accounting software, maintain vendor records
  • Reconcile company credit cards monthly.  Investigate and follow-up with discrepancies as necessary.
  • Oversee employee expense reimbursement processing in accordance with company policies

General Accounting (20%)
  • Assist in preparation of financial reports
  • Participate in preparation for external audits
  • Support all corporate initiatives and communicate all corporate information to staff
  • Sales tax review and reporting 
  • Performs general ledger accounting duties, including account reconciliations, bank reconciliations, etc.
  • Data entry for various accounting modules
  • Create / complete departmental reports

Budgeting / Forecasting (10%)
  • Analyze historical data to assist with annual budgeting and monthly forecasting
  • Assist with forecasting
  • Assist in the preparation of budgets

Completion of Assigned Tasks and Deliverables on Time and on Budget
Performs other related duties as assigned

Requirements
Position Requirements (Intermediate level for all the following)
  • Ability to work successfully in a remote environment thru effective communication and organizational skills, self-motivation, proactiveness and resourcefulness in a distraction free workspace
  • Working knowledge of general accounting / finance body of knowledge.  Working knowledge of relevant local, state and federal laws required.
  • Must possess strong accounts payable knowledge to function independently and collaboratively with co-workers 
  • Skilled using MS Office Suite (Excel, Word, Outlook, PowerPoint, Teams)
  • Ability to communicate verbally and in writing technical and non-technical information
  • Ability to analyze complex, identify problems, evaluate alternatives and implement effective solutions
  • Ability to accurately prepare and maintain records, files and reports
  • Ability to work successfully as a member of a team and independently with moderate supervision
  • Ability to work under pressure and meet close deadlines 
  • Organizational skills, with the ability to manage multiple tasks simultaneously

TRAVEL REQUIREMENTS
  • Up to 10% - travel is defined as physically leaving home on behalf of business activities including but not limited to client sites, meetings with other employees, meeting for business development purposes, running errands on behalf of the business, attending industry conferences, etc.
Education / Experience
  • Minimum of five years of experience as an accounting clerk in an engineering firm
  • Minimum of five years of experience using accounting software
