We are seeking an experienced Project Management Analyst to join our multi-disciplinary coordinating center team supporting an NIH-funded research consortium. In this role, you will provide logistical and administrative support for meetings, support process improvement and documentation of operations, and support business analysis tasks. The ideal candidate will have a strong background in meeting logistics, project coordination and operations and stakeholder communication.
Key Responsibilities:
- Provide logistical and administrative support for meetings, including scheduling, developing meeting materials, disseminating information, taking minutes, and working with committee leads to track action items and ongoing committee issues/tasks.
- Provide leadership support to Task Area Lead and PM in planning, coordination, and execution of logistics tasks and projects, ensuring operational efficiency and resource alignment.
- Work with PM to identify areas across project for operational improvement, streamline workflows, and develop strategies to enhance productivity across teams.
- Support the design, testing, and delivery of web-based tools and ensure alignment with functional requirements. Assist the team in translating business requirements into clear and detailed user stories, acceptance criteria, and priority for development teams
- Develop comprehensive testing plans, prepare testers, and manage the testing process to ensure clarity and thorough testing.
- Perform manual testing and validation of new features and functionalities, ensuring they meet documented requirements and quality standards.
- Participate in and lead the coordination of UAT processes by ensuring appropriate testing plans are in place, assigning testers, and validating that testing aligns with operational goals.
- Support the creation and maintenance of requirements and testing documentation, ensuring it is accurate and up to date.
- Conduct demos or training sessions necessary for the successful execution of releases.
- Liaise with internal teams, clients, and external partners to ensure clear communication of operational updates, project status, and key outcomes.
- Provide onsite support for up to two in-person meetings per year, ensuring operational efficiency in event planning, travel, and coordination.
Required Qualifications:
- Bachelor’s degree in Communications, Business Administration, Information Technology, or a related field
- 2+ years of experience in project coordination, meeting logistics, or business analysis.
- 1+ year of experience with Microsoft Office 365 products including Teams, Outlook, Excel, and PowerPoint
- 1+ year of experience facilitating virtual meetings such as Zoom or MS Teams
- 1+ year of experience taking meeting minutes/notes for highly technical/scientific meetings
- Excellent leadership and problem-solving skills with the ability to drive operational improvements
- Excellent organizational and time management skills, with the ability to oversee multiple projects simultaneously and prioritize competing demands.
- Excellent communication and interpersonal skills, with the ability to collaborate across teams and ensure clear understanding of operational goals.
- Experience in supporting User Acceptance Testing (UAT) and overseeing the development of comprehensive testing plans
- Familiarity with content management systems, including user roles, configuration, and content editing.
- Ability to travel occasionally for in-person meetings (up to two times per year).
Preferred Skills:
- Experience with Agile methodologies.
- Familiarity with Azure DevOps practices and tools.

Pay Range - There are multiple factors that are considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align to the specified role, geographic location, education and certifications as well as contract provisions regarding labor categories that are specific to the position.
The pay range for this position based on full-time employment is:
$57,737.00 - $98,153.00
