ABOUT THIS ROLE

Message Lab is seeking an Associate Project Coordinator who will maintain account, client, and project-level documentation to help onboard new team members or to be leveraged for future projects. In this role you’ll support the Project Manager with daily tasks, such as progress tracking, team communication, and ensuring work is moving forward according to schedule.

As the Associate Project Coordinator, you will collaborate closely with members of the client experience team to learn about and support their work. The ideal candidate will be open to taking on a variety of tasks and eager to learn about our processes and tools.

This is an exciting opportunity for someone seeking growth and looking to start or expand their career in project management, account management, or client experience.

Role location: This role is fully remote (within the United States). Message Lab is fully remote and we require employees to be available and online during our core business hours (10 a.m.-to-2 p.m. Pacific Time), regardless of their physical location. Please note that client needs may require flexibility with working hours.

 

ACCOUNTABILITIES AND QUALIFICATIONS

As an Associate Project Coordinator on the Message Lab team, you will…

  • Check in with project team members (under the direction of the project lead) to determine if they understand their assignments, are experiencing any roadblocks, and can meet deadlines
  • Assist with the ongoing management of project documentation (i.e., client and internal briefs, meetings, project plans, task assignments, deliverables, scope and risk assessments). This includes making updates to documents, formatting, and saving documents and deliverables to the appropriate places on the server.
  • Learn how to use various tools for project tracking and efficiency including Asana, Harvest, Notion, and Smartsheet, and support the project managers by making requested updates to work plans in those tools
  • Assist in scheduling client and internal meetings
  • Take notes in client meetings and distribute, as needed
  • Help review deliverables before they go to clients for quality assurance
  • Observe and learn from project managers the appropriate ways to communicate with clients in meetings and written communication
  • Stay aware of various project deadlines
  • Over time learn typical timeframes (and team members) required to complete various deliverables
  • Build knowledge of The Message Lab at Orchestra’s services, products, and capabilities

Essential Skills: 

  • Internship or other relevant experience in project management where organization, planning, communication, and teamwork were involved
  • Interest in editorial content development, digital advertising, marketing and communications, branding and campaign development
  • Proactive in pitching in, problem-solving, and suggesting new ideas, with a detail-oriented approach
  • Attuned to the various interpersonal dynamics at play in deadline-driven client work performed by cross-functional teams—a high EQ
  • Strong time management and organizational skills (i.e., completing assignments, meeting deadlines, and meeting attendance)
  • Collaborative team player with a can-do attitude
  • Strong written and verbal communication skills
  • Comfortable with remote work
  • Willing to learn various collaboration tools (G-suite, Slack, Miro, Notion, Smartsheet, Asana, Airtable)
  • Willing to learn about digital marketing tools (Google Analytics, Semrrush, Ahrefs, Google Search Console, MailChimp, Marketo, paid social on LinkedIn and X) and content management or editorial tools (WordPress, HubSpot)

Compensation philosophy: Message Lab offers competitive industry rate salary bands with the goal of retaining and growing talented individuals. We regularly review and adjust our compensation structure as needed to ensure equity across teams and levels.

Salary range (commensurate with experience and skills): $60,000-$65,000
