Job description

Planate Management Group (PMG) is a Service-Disabled Veteran-Owned Small Business (SDVOSB) headquartered in Alexandria, Virginia, and Orlando, Florida USA with technical support centers in South East Asia and East Africa, that provide program management and facilities engineering services worldwide. Planate is a small business provider of planning, design, infrastructure management, technical consulting, engineering, and construction management services in support of the US Department of Defense (DOD) and its Service (Army, Air Force, Navy, Marine Corps) missions, along with other US federal agencies, all over the world.

The Tax Compliance and Business License Specialist will be responsible for ensuring the company's compliance with state and local tax regulations and business license requirements across all U.S. states and local governments (excluding corporate registrations). This role is essential to maintaining the organization’s adherence to all relevant tax and regulatory obligations, working closely with the Finance Group to ensure accuracy and timeliness in reporting and filings. The role operates remotely under the direction of the Chief Compliance and Risk Officer.

Job Description: 

  • Manage all state and local tax registrations and filings, including sales tax, use tax, property tax, and other relevant state and municipal taxes.
  • Monitor changes in state and local tax regulations, ensuring timely updates to processes and procedures.
  • Collaborate with the Finance Group to reconcile tax payments and reporting, preparing accurate documentation and support as needed.
  • Maintain and update a calendar of filing deadlines, ensuring timely submission of tax returns and payments
  • Oversee the registration, renewal, and maintenance of business licenses across all required U.S. jurisdictions.
  • Track jurisdictional requirements for business license renewals, ensuring documentation is up-to-date and filed within required timelines.
  • Develop and maintain a record-keeping system to monitor all active business licenses and expiration dates.
  • Prepare and review compliance reports for the Chief Compliance and Risk Officer, highlighting any significant issues, risks, or upcoming deadlines.
  • Maintain meticulous records of all filings, licenses, and correspondence with state and local tax authorities.
  • Assist in the development of standardized reporting templates for consistent reporting across jurisdictions.
  • Work closely with the Finance Group to reconcile accounts, resolve discrepancies, and manage inter-departmental documentation
  • Act as a point of contact with external advisors, tax authorities, and other stakeholders on state and local tax and license matters.

 

Duties and Responsibilities:

  • Bachelor’s degree in Accounting, Finance, Business, or a related field
  • Minimum of 3 years of experience in tax compliance and/or business license registration, ideally in a multi-national or corporate setting.
  • Understanding of U.S. state and local tax regulations and licensing requirements. But we are also willing to train and mentor to those who have no such experience
  • Strong organizational skills and attention to detail.
  • Excellent communication skills and the ability to work effectively in a remote team environment.
