Job Description

The primary role of a Facilities Coordinator is to provide support, monitor the performance of, and coordinate a small team of multi-skilled operatives. This role involves developing close working relationships with key client stakeholders, partners, landlords, managing agents, and all facilities vendors. The individual in this role ensures that all tasks are completed in a timely and accurate manner.

Responsibilities

  • Provide support for monitoring the performance of and coordinating a small team of multi-skilled operatives.
  • Develop close working relationships with key client stakeholders, partners, landlords, managing agents, and all facilities vendors.
  • Assist in the management of all contractors on site to ensure they perform to the required standards.
  • Assist in the procurement of vendors and services as required.
  • Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner.
  • Ensure prompt and accurate management of purchase orders in the internal financial management platform.
  • Assist with the monthly accrual reports and help monitor the finance trackers.
  • Conduct site inspections, assessments, regular audits, and carry out safety procedures as well as all building procedures, ad-hoc duties, and performance measures.
  • Assist in the implementation of the property risk management program and industry best practice operations.
  • Maintain premises in neat and good working condition at all times.
  • Support the implementation and monitoring of disaster recovery and business continuity plans.
  • Follow established escalation procedures and incident reporting procedures.
  • Provide support for regular management reports and projects as required.
  • Achieve Key Performance Indicators (KPI) and Service Level Agreement (SLA) targets.

Skills & Qualifications

  • Experience in commercial property maintenance.
  • Competent computer skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).

  • Self-motivated with a confident and energetic attitude.

Work Environment

The candidate will work EST hours, typically from 8am-5pm EST, with some flexibility. The work environment involves collaborating with a large property management company and supporting a major client.
