The Role:

Reporting to the Controller, the Collections Specialist/Financial Analyst is responsible for managing the company’s collections activities, ensuring timely and accurate tracking of accounts receivable, while also performing key financial analysis functions. This hybrid role plays a vital part in both overseeing collections to reduce risk and maintain strong cash flow and supporting the broader finance and accounting team with analysis that drives financial decisions. In addition, working closely with the Finance, Accounting and Operations teams, this position will play a critical role in communicating with our internal and external clients and evolving our collections and finance operations. The ideal candidate will have experience in both collections and financial analysis, excellent communication skills, is a driven self-starter, will have high follow-through, and a collaborative mindset, thriving in a fast-paced, tech-driven environment. 

Job Duties:  

Collections Responsibilities: 

  • Identify account delinquency attributions and support a collections strategy and escalation plan and enhance a standardized process for identifying high risk accounts prior to default 
  • Manage accounts receivable collections at a high volume, ensuring timely payments from clients and addressing any payment discrepancies or service delivery issues that require escalation 
  • Monitor, track and evaluate the daily analysis of customer collections and disputed invoices/short-payment activity, including escalation procedures for delinquent accounts 
  • Maintain accurate, detailed records of client interactions, payment schedules, and follow-up activities 
  • Ensure timeliness and accuracy of accounts receivable collections reporting, including weekly accounts receivable agings and metrics pertaining to past due balances for senior management 
  • Collaborate with internal teams such as Finance, Accounting, and Operations to improve the collections process 
  • Understand the customer billing process and ensure that customers were billed correctly and that no discrepancies exist 
  • Provide regular reports on collections status, outstanding balances, and related financial data to management 
  • Analyze aging reports to determine risks and identify opportunities for process improvement 
  • Conduct investigations on disputed invoices, working with internal and external stakeholders to resolve payment discrepancies 
  • Evaluate aged items for allowance for doubtful accounts and bad debt write- off as well as refund analysis and credit memoranda 
  • Perform customer invoicing functions 

  Financial Analyst Responsibilities: 

  • Perform financial analysis related to company performance, providing insights into key metrics such as cash flow, profitability, and expense management 
  • Provide information, accounts receivable account reconciliations and analysis necessary for month end close 
  • Perform variance and trend analysis, driving process improvement, and recommend corrective actions 
  • Support month-end closing processes by providing accurate financial data and analysis as directed by the Controller 
  • Assist in budgeting, forecasting, and variance analysis, contributing to informed decision-making across the organization 
  • Assist in preparing financial reports and presentations for senior management and stakeholders, focusing on trends, risks, and opportunities 
  • Identify areas for process improvements within financial operations and collections efforts to increase efficiency and control
  • Perform ad-hoc analysis, reporting, and activities as required

  • Strong communication and negotiation skills, with the ability to build positive relationships with both customers and internal 
  • Driven to achieve a high degree of success in collecting balances due the company for services performed as well as communicate customer concerns in a timely manner to assist in quickly resolving customer satisfaction issues 
  • Strong understanding of collections processes, including best practices for account management and client communications 
  • Proven experience in financial analysis, with the ability to interpret data and deliver actionable insights 
  • Analytical mindset with a focus on driving efficiencies and process improvements 
  • Ability to balance competing priorities while meeting deadlines in a fast-paced environment 
  • High level of integrity, attention to detail, and organizational skills 
  • Ability to thrive in an entrepreneurial, team-oriented work environment

Qualifications:

  • Prior experience and knowledgeable in collections activities 
  • Bachelor’s degree in finance, accounting, business administration, or a related field 
  • 3-5 years of experience in collections, accounts receivable, and financial analysis 
  • Exposure to software (experience with NetSuite is a plus) 
  • Strong Excel skills, with the ability to build and interpret financial models 
  • Knowledge of general accounting principles is a plus
