Job description

Position Available: Virtual Assistant - Healthcare
Location: Remote; Sri Lanka based
Hours: Full-time; 5:00-5:30am - 1:00-1:30pm, IST Colombo time

Are you an organised and detail-oriented senior Virtual Assistant looking for an opportunity in healthcare? We are seeking an Administration Support professional to join our allied health services team, playing a crucial role in managing invoicing, scheduling, and client support.

Your Main Responsibilities & Experience:

Email Management & Client Queries:

  • You are an excellent communicator, able to handle client enquiries, confirm payments, and assist with appointment requests. You'll manage referral processes and ensure all technical queries are flagged for follow-up.

Phone Support:

  • You are efficient and professional when assisting clients with appointment scheduling and rescheduling. You’ll also notify staff of cancellations and manage specialist inquiries.

Aged Care & NDIS (National Disability Insurance Scheme) Client Support:

  • You will follow up with aged care providers for purchase order numbers and ensure invoices include the necessary documentation for smooth payment processing.
  • You are experienced in managing NDIS clients, ensuring that funding is available and correct invoicing details are in the system.

Appointment Scheduling:

  • You will schedule appointments for clients based on priority and availability and send SMS reminders using Cliniko.

Invoicing & Client Management:

  • You will assist with invoicing, using templates and managing overdue invoices through follow-up communication. Familiarity with Xero for invoicing is an advantage.

What your profile will look like:

  • Must have - a minimum of 2+ years of experience: Demonstrable experience in administration or client service roles, ideally in a healthcare setting.
  • Must have - strong communication skills: Fluent written and oral English is a must. You’ll communicate directly with clients, support coordinators, and healthcare providers.
  • Must have - accountability & attention to detail: Ability to multitask, prioritize, and work with minimal supervision, ensuring accurate documentation and processes.
  • Preferred - experience with NDIS and Cliniko: Previous experience with NDIS or familiarity with Cliniko or similar systems will make you an excellent fit for this role.
