Job Description & Summary

The Virtual Concierge Associate actively supports the day-to-day business activities of stakeholders in a fast paced, multitasking environment often working with confidential and time sensitive material. At the Administrative level, you will work as part of a team of problem solvers, helping to solve complex business issues. 

Reporting to the Virtual Concierge Manager, the Virtual Concierge Associate actively supports the day-to-day business activities for a group of Stakeholders in a fast-paced, multitasking environment, often working with confidential and time sensitive material. At the Administrative level, you will work as part of a team of problem solvers, helping to solve complex business issues. 

  • Proactive management of email and calendar

  • Meeting & events scheduling

  • Travel coordination / bookings, expense reports, vendor invoice coding

  • Salesforce activities, general research, document management support

  • Function as a backup for other team members and contribute to teaming activities.

Other responsibilities include:

  • Support and assist with adoption of changes to firm technology, policies and procedures.

  • Seek ongoing development of professional, digital, and technical acumen.

  • Assist with other firm initiatives / business projects, or general administrative duties as required.  

Essential Requirements:

  • Minimum of two years of relevant experience in customer service, administration or have worked in a role with applicable transferable skills.

  • Any previous experience working in a partnership or professional services firm would be an asset.

  • English is a requirement.

Preferred Experience & Skills:

  • Excellence in customer service, with a positive, proactive “can do” attitude. 

  • Strong interpersonal and excellent verbal and written communication skills.  

  • Proficient in Microsoft, Outlook Email, Outlook Calendar, and Teams.  

  • An interest in digital upskilling and staying up to date with technological trends.  

  • Attention to detail, discretion.  

  • Ability to handle multiple priorities and adapt to changing demands.  

  • Ability to work within tight deadlines and work well in a team environment. 

Other Capabilities:

  • Candidates require excellent judgment and strong problem-solving skills, including a proactive approach to working with internal staff/departments and clients at all levels while demonstrating flexibility. 

  • Candidates need to demonstrate an ability to work well both independently and in a team environment by creating a positive working atmosphere and supporting each other to combine individual strengths to enhance team performance. 

Working Conditions:

  • Hybrid setup - provides the opportunity to work from both the office and home.  

  • Amenable to work on night shift schedule - the role will be providing support to our global territory during core business hours aligned with different time zone: AST, EST, MST, PST.
