We are seeking an experience Payroll Manager who will be accountable for the performance and day-to-day operations for the Payroll team within our HR Services hub. You are a people manager who focuses on coaching your team, training staff members and facilitating team development. Lead the team through change and drive a culture of process improvement, with focus on the service level to the business on one side and compliancy to local and global standards and policies on the other side.  You will ensure consistent, correct and timely execution of all Payroll transactions and queries for all entities across North America in accordance with SLA’s, policies and local legislation/regulations.  
 
About The Role

The Payroll Manager will facilitate the roll out of new Payroll policies and procedures on a local or regional level. This involves giving input on (new) functionality to Workday (HRIS) technical team, the external Payroll vendors (ADP & Ceridian), (preparation of) communication to target group, train employees in the payroll team to act on their (new) tasks. In this regard the Payroll Manager will interact with local HR business partners, HR managers, CoE managers on local or regional level, workday technical team and communications specialists.

Responsibilities:

Leadership

  • Provide leadership and direction particularly with the Payroll leads for the specific countries; 
  • Responsible for the compliance / data quality activities and guidance of the team; 
  • Monitor the performance to ensure the team meets the goals and service levels; 
  • Work continuously to develop the team and individuals in the group by supervising, training and providing effective feedback; 
  • Respecting and promoting individual and cultural differences; 
  • Foster an empowering and motivating environment; 
  • Manage Payroll team within allocated budget. 

Project Management and Organizational structure/Process

  • Manage payroll related projects and act as SME on HR/Finance projects that involve Payroll; 
  • Engage team members to participate in projects; 
  • Support Payroll Leads in allocation of tasks in the department so the work is efficiently and effectively structured; 
  • Ensure effective controls are in place to meet audit requirements. Ensure that findings from audit reviews are processed. 

Delivery of service & communication

  • Responsible for up-to-date online Payroll information including workflows, online reports and knowledgebase articles; 
  • Proactively manage all payroll channels and associated ways of customer contact with the team; 
  • Manage expectations for service levels with HR BP’s and business representatives. Provide reports on KPI's and SLAs as required; 
  • Manage or escalate complaints as appropriate; 
  • Maintain contacts with management, HR, Finance, Tax, and third parties (suppliers) of the assigned countries / Nutreco entities; 
  • Highlight areas of improvement and suggest actions to maintain best practice. Takes initiative on change proposals to adapt processes and working instructions to changes. Is pro-active and aware of the impact of the change on other processes in a broad perspective. Makes sure compliancy is guaranteed 

Skills and Expertise

  • Bachelor’s degree in business administration/finance, HR or another relevant field; 
  • 10 years relevant payroll experience and 3-5 years management experience; 
  • Communication and written skills in English and French is required, Spanish is an asset;
  • Industry payroll designation such as PCP or CPM, is preferred. 
  • Knowledge of US, Canadian including Quebec Provincial Legislation; 
  • Experience in complex statutory deductions, multiple payroll cycles and high volume; 
  • Experience with ADP – Payroll. Experience with Ceridian and/or Workday is an asset; 
  • ADP’s Autopay Analysis Documents’ Knowledge is an asset; 
  • Experience with digitalization of HR transactional processes and systems (preferable Workday); 
  • Experience with pension and benefit administration and year-end activities; 
  • Experience working in an international environment; accustomed to cultural differences; 
  • Payroll audit management and sound judgement in planning and execution of payroll tasks; 
  • People management skills, can lead and motivate a team; 
  • Excellent planning ability: anticipate needs and prioritize several tasks across the team; 
  • Experience performing complex reconciliations, tac remittance and third-party requests..
