About the Project:  We are seeking  motivated and detail-oriented individual to assist in organizing events and some other marketing activities.



Event Participation and Registration

  • Signing Up for Events: Align on with the team and/or proactively research relevant trade shows, exhibitions, and industry events. Handle the registration process, including submitting applications, managing deadlines, and securing booth spaces.
  • Liaising with Event Organizers: Establish and maintain communication with event organizers to understand event logistics, sponsorship opportunities, and other participation requirements. 

Communication and Coordination

  • Internal Team Communication: Serve as the primary point of contact between the event organizers and internal teams. Communicate event details, schedules, and requirements to all relevant departments, including marketing, B2B, and product.
  • Team Coordination: Organize and lead planning meetings and discussions to ensure all team members are aligned on objectives, roles, and responsibilities. Coordinate travel and accommodation arrangements for staff attending the events.

Print and Promotional Material Management

  • Design of Print Materials: Collaborate with the marketing team to develop promotional materials. Collect requirements, set tasks, and ensure the delivery.
  • Production of Print Materials: Communicate with the existing vendors and search for new ones if we need them. Oversee the production process, ensuring high-quality output and timely delivery.
  • Brand Consistency: Ensure all print and digital materials are consistent with our brand guidelines and effectively communicate our company’s offerings and value proposition.
  • Inventory and Logistics: Coordinate with the office manager and logistics team to keep track of promotional material inventory, order materials, and manage their delivery.

On-site Event Management 

  • Booth Setup and Management: Coordinate the setup and teardown of our booth, ensuring it is visually appealing and functional. Manage on-site logistics, including equipment rental and technical support.
  • Engagement and Lead Capture: Implement strategies to engage attendees and capture leads, working closely with the sales team to maximize the event's impact.

Post-Event Follow-Up

  • Debrief and Reporting: Conduct post-event debriefs with the team to evaluate the event’s success and gather feedback. Prepare detailed reports summarizing the outcomes.

 

Requirements

  • Languages: Fluency in both English and Polish is required.
  • Experience: Proven experience as an Event Coordinator or in a similar role, preferably for business-related events.
  • Location: Ideally, candidates should be local to Gliwice or Katowice or close. However, we are open to applicants who are willing to travel to office from time to time as needed. Availability: Must be available for all event dates, including setup and teardown.
  • Skills: Excellent organizational skills, attention to detail, and problem-solving abilities. Must be able to handle high-pressure situations with ease.
