The Opportunity

Valvoline has a rewarding opportunity as a Facilities and Maintenance Systems Administrator. In this role, you will manage and maintain the computerized maintenance management system (CMMS) and other software applications used by the facilities and maintenance teams. This role ensures that systems are fully operational, up-to-date, and meet the organization's needs. The administrator will oversee the setup of preventive maintenance schedules, work orders, asset management, and data reporting, supporting the organization's overall efficiency and effectiveness.

 

How You'll Make a Difference

  • System Administration
    • Manage and maintain the CMMS and other related facilities and maintenance management software, ensuring the system is functional, updated, and accessible to users.
    • Configure system settings, user permissions, and workflows to meet operational requirements.
    • Perform regular system audits to ensure data accuracy and integrity.
  • Data Management
    • Oversee the entry and management of asset data, maintenance schedules, project timelines, and work orders within the system.
    • Maintain a comprehensive database of all facility assets, including equipment specifications, maintenance history, and warranty information.
  • Reporting and Analytics
    • Create and schedule regular reports on maintenance and facilities activities, including work order completion rates, downtime, and asset performance metrics.
    • Develop customized reports and dashboards to provide actionable insights to facilities and maintenance leadership.
  • User Support
    • Support facilities and maintenance staff on the CMMS and other related systems.
    • Troubleshoot system issues, providing timely resolutions to minimize disruption to maintenance activities.
    • Develop and maintain user guides, training materials, and documentation for system processes.
  • System Optimization and Improvements
    • Work closely with the facilities and maintenance teams to identify system enhancements and process improvement opportunities.
    • Lead initiatives to optimize system functionality.
    • Collaborate with IT and software vendors to implement system updates, patches, and enhancements.
  • Compliance and Documentation
    • Ensure maintenance activities and system records comply with regulatory and safety standards, such as OSHA and EPA.
    • Implement system controls and checks to maintain data integrity and security.
    • Support audits and inspections by providing necessary system data and reports.
  • Other duties and responsibilities as determined by Valvoline from time to time in its sole discretion.

What You'll Need to Succeed

  • Bachelor’s degree in Facilities Management, Engineering, Information Technology, or a related field is preferred
  • Minimum of three years of experience in system administration, preferably within facilities management or maintenance operations
  • Proven experience with CMMS, Facilities Management Software, or similar maintenance systems
  • Knowledge of maintenance processes, asset management, and equipment lifecycle management
  • Excellent analytical skills, with the ability to interpret data and generate actionable insights
  • Strong problem-solving skills with the ability to troubleshoot system issues effectively
  • Excellent communication skills and ability to work collaboratively at all levels
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and database management
  • Detail-oriented with strong organizational skills
  • Familiarity with maintenance methodologies (e.g., preventive, predictive maintenance) is preferred
  • Experience with systems like SAP PM, Maximo, or other facilities management platforms is preferred
  • Experience with process mapping and optimization techniques is preferred
  • Must be authorized to work in the U.S.
