Your responsibilities include:

  • Meeting Support:
    • Schedule and confirm appointments with clients and team members
    • Attend meetings to gain insights and understand the dynamics of client interactions
    • Document key takeaways and action items during meetings for follow-up and accountability
    • Create organized agendas to enhance meeting productivity
    • Assign tasks to team members as necessary to streamline workflows and enhance team collaboration

  • Calendar Management:
    • Reach out to clients who have submitted applications but have not yet booked appointments to encourage engagement
    • Conduct follow-ups via phone calls and emails to ensure timely appointments and responses

  • Data Entry and Document Retrieval:
    • Ensure all necessary documentation is collected from clients to facilitate funding processes
    • Chase clients for any outstanding documents that have not been provided yet to maintain project timelines
    • Accurately input data and documentation into the relevant systems, including Microsoft Office, Google Suite, and Excel
    • Manage updates and entries in the CRM system, preferably GoHighLevel, to keep client information current and accessible

  • Administrative Tasks:
    • Client Outreach:
      • Engage in outreach efforts to maintain communication with clients and ensure a smooth workflow
      • Coordinate follow-ups for setting meetings and gathering necessary data for client funding
    • File Preparation:
      • Organize and prepare documentation for client funding requests, ensuring timely submissions to billing specialists and team members
    • Outbound Outreach (nice-to-have)
      • Reach out to new businesses to schedule meetings
      • Follow the provided scripts for effective communication
      • Conduct initial conversations to gather information for appointment-setting
