Job Description

Supporting our close knit Global Legal group here at Canva. While you will be integral in supporting the global team with tasks on the ground in Sydney, you’ll be predominately aligned with our Product and Privacy Legal team who are based all around Australia, US, UK and the Philippines.

We move fast here at Canva, and this role will certainly keep you on your toes. The role will provide administration and operational support to the global Product and Privacy legal team, ensuring they are set up to work most efficiently and effectively, to make their crazy big goals happen. We are looking for someone super-efficient, who loves to juggle, build relationships with lots of different stakeholders, anticipate issues before they arise and get stuff done.

The successful candidate will be a key contributor to Canva’s global mission to empower the whole world to design and do the most good possible.

What you'll do

  • Figuring out ways to make our global team even more efficient through streamlining processes, utilising AI where possible and ensuring the team is as effective as they can be!
  • Providing diary management to our global Head of Product and Privacy as well as managing a busy inbox, taking notes and actions in meetings, keeping track of expenses and planning travel by handling both logistical travel arrangements as well as trip itineraries.
  • Helping to manage the tracking of goals and ensuring they are front-of-mind for our busy team. This includes setting up and managing speciality boards in Jira.
  • Organising celebrations, cards/gifts and off-sites, ensuring everyone is empowered to do the best work of their life, and having the best time doing it.
  • Helping with the management of e-billing software including liaising with external counsel on invoice requirements.
  • receiving, scanning and notifying the relevant people of mail as it comes in; mailing & couriering time sensitive legal documents.
  • Assisting the team with file management, coordinating collection of electronic signatures, proofreading documents, and CPD record maintenance.
  • Assisting with the triage and allocation of legal work via multiple intake channels from across the business.
  • Helping out with a wide range of tasks as they come up, including expenses, maintaining the internal and external facing Legal specialty hubs in Confluence, and other ad hoc requests.
  • Schedule diary invites with Zoom, book meeting rooms and event spaces, coordinate and assist in building presentation materials, conducting research and managing attendee invites.

We'd love it if you had

  • Proven Admin Assistant experience, with an interest or background in tech.
  • Experienced and comfortable handling sensitive and confidential information.
  • Proactive with a bias for action and getting things done. Happy to roll up your sleeves with any task, with no task being too small if it makes the team around you more effective.
  • Have a passion for building and maintaining relationships both internally and externally.
  • Standout colleague with excellent communication skills, strong technology skills and high emotional intelligence.
  • Quick learner, and comfortable in a fast paced and constantly changing environment.
  • Exceptional attention to detail, you’re highly organised and possess phenomenal verbal and written communication skills.
