Position Overview:

We are looking for a highly organized and detail-oriented Executive Assistant to support the Operations Manager. The ideal candidate will have experience in scheduling, email management, document drafting, and operational support. This role will involve managing multiple projects, coordinating with internal teams and external stakeholders, and ensuring the smooth running of daily operations.

Key Responsibilities:

  • Assist the Operations Manager with scheduling, email management, and meeting coordination.
  • Draft and organize documents, reports, and communications for various projects.
  • Create diagrams and flowcharts to document and improve operational procedures.
  • Manage travel arrangements, prepare meeting agendas, and track follow-ups on action items.
  • Maintain organized records of important files and operational documentation.
  • Help manage and track operational projects, ensuring deadlines are met.
  • Liaise with internal teams and external stakeholders on behalf of the Operations Manager.
  • Conduct research and prepare presentations as required.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar role, ideally supporting an operations executive.
  • Excellent organizational, communication, and time management skills.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Ability to draft documents and create operational workflow diagrams.
  • Strong attention to detail and problem-solving skills.

Nice-to-Haves:

  • Prior experience in operations or supporting high-level executives.
  • Familiarity with project management tools and techniques.
